As an Administrative Support Specialist, you will be responsible for providing front-line administrative services, including receiving and screening incoming telephone calls and visitors. You will determine the identity and purpose of each contact, assess the appropriate course of action, and decide whether to direct the matter to the appropriate office Director, refer it to other staff or organizations, or handle it independently.

The ideal candidate will perform a variety of administrative and clerical duties, ensuring the seamless operation of office tasks and the support of internal and external stakeholders. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.

What You'll Be Doing
  • Invite customers to complete the administrative support survey to measure satisfaction.
  • Compile and organize materials for the Director's appointments.
  • Receive, sort, and log all incoming mail; determine what to handle personally and route the rest with proper notations.
  • Arrange meetings and conferences for the Director, including notifying participants, booking space, resolving logistics, and gathering materials.
  • Attend meetings to record notes, attendance, and minutes as needed; follow up on action items when requested.
  • Coordinate travel for the Director and staff as needed.
  • Maintain office filing systems and determine what materials should be retained.
  • Use computers and software to prepare documents, presentations, and carry out administrative tasks.
  • Review and distribute emails, track suspense items, and update databases and automated records.
  • Oversee administrative functions, including processing purchases, subscriptions, and requisitions.
  • Order and maintain office supplies and equipment; perform timekeeping duties.
  • Coordinate phone and equipment installations or repairs.
  • Manage office space and furniture logistics.
Profile of Success
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Minimum of 3+ years' experience in an administrative support role.
  • Knowledge of general office procedures and time management.
  • Demonstrated ability to handle confidential information with discretion.
  • Comfortable with technology and able to quickly learn agency systems.
Required
  • US Citizenship is required.
  • Associates degree or 3+ years' experience in an administrative or clerical field.
  • Ability to pass a federal background check.
  • Professional appearance and office-appropriate attire.
  • On-site availability in Washington, D.C. (Monday-Friday, full-time).
  • Basic understanding of security and confidentiality best practices.
