As an Administrative Assistant,you will serve as a key contributor to the department's dailyoperations, managing a range of responsibilities spanning financialadministration, human resources, event coordination,communications, and office management. Summary of Responsibilities
- Perform advanced and confidential administrative duties.Maintain up-to-date knowledge of university policies andprocedures. Establish, update, and maintain files, lists, andrecords. Coordinate and facilitate meetings, program functions, andspecial events. Maintain accurate minutes of meetings.
- Manage the department website and social media accounts. Ensurethe front desk is staffed during peak student hours. andwork-related areas. Interprets and explains the policies andprocedures to faculty, staff, and students, as necessary. Providessupport for the Chair and faculty/staff. Schedules appointments,meetings, and events. Organizes meetings, schedules rooms, attendsas appropriate, and keeps accurate minutes. Schedules andcoordinates major department events. Manage department financialactivities, budgets, ePAFs, eSAFs, workload reports, requisitions,purchase orders, travel, P-card purchases, index tracking, andreconciliation. Monitor and reconcile expenditures. Facilitaterepairs by IT and Media Services.
- Oversee People and Culture tasks, including posting jobopenings, assisting search committees, scheduling interviews, andonboarding new employees. Manage part-time employees, supervisetimecards, and maintain accurate payroll records. Train and overseelower-level staff and student employees.
- Coordinate semester book adoptions with UVU's Bookstore,publishers, and vendors. Coordinate and track faculty and studentprofessional licenses, certifications, immunizations, drug tests,and other documentation. Collaborate with the department chair inpreparing semester class and lab/clinic schedules. Facilitate thesubmission of schedules. Communicate with students regarding classchanges and other schedule-related matters. Coordinate withadjuncts regarding class schedules. Issue parking permits forcampus visitors.
Qualifications / Licenses / Certifications
Graduation from an accredited institution with an associate'sdegree and two years of experience related to the summary ofduties; OR any combination of education and/or experience totalingfour years.

Knowledge- Knowledge of best practices in events, marketingcommunications, correspondence, and appropriate matters ofetiquette in various settings.
- Databases and applications (Microsoft Suite, Banner, TIMS,CourseLeaf, Qualtrics)
Skills- Office methods, techniques, practices, andprocedures.
- Proficient in using computers and software applications,including Microsoft Word processing, Excel spreadsheets, email,Teams, internet, databases, and PowerPointpresentations.
- Experienced in budget preparation and financial managementusing Excel.
