Our client, a well-established professional organization in Boston, is seeking an Administrative Support Associate to join its collaborative administrative team. This is a highly visible, front-facing position that combines reception, office coordination, meeting and event support, and general administrative responsibilities. Key Responsibilities
- Serve as a primary point of contact at the reception desk, welcoming visitors, managing guest access, and handling incoming calls.
- Coordinate conference rooms, meetings, and day-to-day office logistics for internal teams and external guests.
- Provide administrative support across multiple departments and business needs.
- Partner with colleagues throughout the organization to address office-related requests and keep daily operations running smoothly.
- Assist with the planning and execution of meetings, conferences, and events, including scheduling, logistics, and preparation of materials.
- Maintain and update administrative procedures and documentation.
- Identify opportunities to improve administrative processes and overall office efficiency.
- Build strong working relationships with employees, clients, vendors, and other stakeholders.
- Handle sensitive and confidential information with professionalism and discretion.
- Take ownership of administrative tasks and provide additional team support as needs arise.
Qualifications
- Bachelor\'s degree preferred.
- 2–4+ years of administrative experience within a professional or corporate environment.
- Previous reception, front desk, or office coordination experience strongly preferred.
- Comfortable serving as a visible representative of the organization and interacting with employees, clients, vendors, and visitors.
- Strong written and verbal communication skills.
- Highly organized and detail-oriented with the ability to manage multiple priorities.
- Proactive approach with strong critical-thinking and problem-solving skills.
- Professional, dependable, and willing to assist with responsibilities at all levels.
- Ability to exercise discretion when handling confidential or sensitive information.
- Proficiency with Microsoft Outlook, Word, and Teams; advanced Excel skills are preferred.
- Experience with calendar management and virtual meeting platforms is a plus.
This is a permanent, full-time position based fully onsite in Boston, Monday through Friday.
