Job summary

State of Louisiana, Department of Children and Family Services, seeks an Administrative Supervisor for the Concordia Parish Child Welfare Office in Vidalia, LA. The role coordinates clerical operations and supports staff and clients across Concordia and Catahoula parishes.

Work hours typically 8:00 am–4:30 pm, Monday–Friday, with flexible schedules possible after criteria are met. Appointments may be probational or up to 48 months with potential for promotion within the state civil service.

Qualifications

  • Three years of experience in administrative services.
  • Experience substitution: 15 semester hours equals six months of experience.

Responsibilities

  • Supervising, coordinating, and planning the day-to-day functions of a clerical unit.
  • Manages all administrative and business functions for Child Welfare within the Alexandria Region.
  • Ensures operational continuity by understanding and accessing all clerical systems and duties.
  • Maintains phone systems, utilities, computer ports, operating equipment, doors and alarm systems.
  • Maintain vehicle logs, securing state vehicle keys and fuel/credit cards from staff when not in use, and submitting quarterly Office of Risk Management Vehicle Reports.
  • Managing the office supply inventory by regularly assessing needs and preparing requisitions and serving as the office Inventory Control Officer.
  • Performs other duties as assigned for the smooth operation of the Department.

The Administrative Supervisor position is responsible for coordinating the operations and programmatic functions of DCFS Administrative Coordinator 1, 2 and 3. The position provides clerical, programmatic, and administrative support functions for staff, and clients of Child Welfare in the Concordia and Catahoula parishes.

Three years of experience in administrative services.

EXPERIENCE SUBSTITUTION:

Every 15 semester hours earned from an accredited college or university will substitute for six months of the required experience.

Job Duties:
  • Supervising, coordinating, and planning the day-to-day functions of a clerical unit.

  • Ensures smooth and consistent operation of the office by maintaining phone systems, utilities, computer ports, operating equipment, doors and alarm systems.
  • Maintain vehicle logs, securing state vehicle keys and fuel/credit cards from staff when not in use, and submitting quarterly Office of Risk Management Vehicle Reports that track mileage for all state vehicles within the region.
  • Managing the office supply inventory by regularly assessing needs and preparing requisitions and serving as the office Inventory Control Officer.
  • Performs other duties as assigned for the smooth operation of the Department.
Position-Specific Details:

Appointment Type: This position may be filled as a probational appointment or a job appointment that may last up to 48 months. Job appointments may convert to probational appointments. Also, it may be filled as a detail and promoted within 12 months or by promotion of a permanent classified employee.

Work Schedule: Typically, work hours are 8:00 am to 4:30 pm, Monday – Friday. Flexible work schedules are available after meeting certain criteria and is dependent upon the position you are applying for. Some positions require working shifts.

Work Location: This position is located in the Concordia Parish Child Welfare Office in Vidalia, LA.
