Description

The Administrative Specialist II performs a variety of secretarial, clerical, and general office assistance duties to support activities of the assigned department. Work involves preparing and maintaining a variety of files and documents, answering telephone calls, greeting the public, and routing communications. Employee is responsible for performing general clerical duties such as preparing photocopies, processing mail, and compiling data for reports.

Examples of Duties

  • Answers incoming calls, greets visitors and answers inquiries related to the county or specific department, and directs visitors to correct employee or department as necessary.
  • Processes incoming and outgoing mail; routes mail to proper recipient.
  • Utilizes computerized data entry equipment and various word processing, spreadsheet and/or file maintenance programs to enter, store and/or retrieve information as requested or otherwise necessary; establishes and maintains files.
  • Maintains office supply inventories, ordering and distributing supplies as necessary.
  • Regular and punctual attendance required.
  • Receives and prepares purchase requisitions; approves purchases within authorized spending limits or obtains supervisor's signature; matches purchase requisitions with invoices for goods received and forwards to accounts payable personnel.
  • Monitors and maintains electronic calendar to coordinate time off and training/travel for County Auditor and staff and communicates with management.
  • Leads in development and maintenance of filing and organizing County Auditor’s Office general filing records in electronic format.
  • Responsible for working with managers to ensure County Auditor staff accurately submits all timesheets within payroll deadlines.
  • Coordinates all training and travel requests, ensures requests have been approved by management and are within County policy, request is within budget, makes reservations, processes registration and other payments made in advance, and follows up to ensure vouchers are submitted timely.
  • Monitors, maintains and makes recommendations to the County Auditor operating budget.
  • Leads in coordinating efforts and making recommendations to improve staff moral in the County Auditor’s Office.

Performs other related duties as required.

Minimum Qualifications

High School Diploma or GED and a minimum two years of experience in a related field; or an equivalent combination of education and related experience required.

Family Medical Leave

Denton County employees who have been employed for one year and who have worked 1250 hours in the preceding year may be eligible for up to twelve weeks of FMLA leave.

The FMLA provides for up to 12 weeks of job-protected leave

  • for the birth, adoption, or placement of a child for foster care
  • to care for a child, spouse, or parent with a serious health condition
  • for an employee with a serious health condition

Employees who will be away from work for one of these reasons should contact Human Resources for additional information. When possible, an employee should provide at least 30 days advance notice. In the case of an emergency, notification should be made as soon as possible.
