We're culturally sensitive, and many of our staff come from within the community that they serve. Operating 24 hours, 7 days a week, we offer reliable, dignified care in your own home and specialize in health services, personal care, and champion services. As an Administrative Specialist, you will serve as key support for the Operations Manager to run the office smoothly, including payroll, supplies, scheduling visits.

Job Functions And Responsibilities

  • Serves as liaison between coding company and office staff facilitating all correspondence to the proper individual.
  • Maintaining and tracking spreadsheets from coding company to ensure all patients are accurately processed in a timely manner.
  • Serves as liaison between billing company and office staff facilitating all correspondence to the proper individual.
  • Monitor invoice errors tab and communicate with the proper team members to resolve errors.
  • Release invoices ready for billing
  • Manage EVV Transmission report and resolve transmission errors.
  • Follow up with clinicians regarding missing EVV data to ensure compliance with Medicaid and NYS DOH regulations.
  • Release NOAs in accordance with Medicare guidelines
  • Answers and Triages CHHA Operation Manager phone calls
  • Prepares vendor bills for payment, process purchase orders for invoices ready for payment.
  • Track invoices processed and checks receives; maintain invoice/p.o. tracker.
  • Files and organizes new charts.
  • Email/Faxes notes to MLTCs.
  • Assists CHHA Operations Manager to run the office operations, including ordering supplies, doing payroll, scheduling visits, filing and so on.
  • Participates in Performance Improvement projects.
  • Accepts and completes assignments as given within scheduled time frame.
  • Projects positive business-like demeanor. Promotes positive work environment.
  • Maintains confidentiality of patients' records

Qualifications

  • High school diploma; college degree preferred
  • Excellent communication and customer service skills, both written and verbal
  • Tech savvy, with proficiency in Microsoft Office, including Excel
  • Prior experience with HHAeXchange a plus
  • Absolute integrity and sufficient maturity to handle confidential aspects of work
