Job description

We are seeking a proactive and detail-oriented Administrative Operations Assistant to support our Operations field and management teams. This hands-on role involves a blend of administrative tasks, internal and external communications, and day-to-day coordination. The ideal candidate is a strong problem-solver with excellent communication skills, the ability to manage multiple priorities, and a collaborative mindset.

  1. Collaborate cross-departmentally to coordinate travel logistics for new hire orientation attendees, training classes, and support of company-wide meetings and events. Address all travel or other logistical issues as they occur.
  2. Assist in coordinating on-site training sessions with internal departments and vendors. Compose correspondence to all involved.
  3. Plan catering for training sessions, monthly new hire orientations, and events as needed.
  4. Coordinate weekend and holiday on-call scheduling for all field operation locations, working directly with the answering service and managers across all time zones.
  5. Support the planning and coordination of ForTec’s Annual National Meeting and local office celebrations.
  6. Provide administrative and project support to Operations Leadership.
  7. Coordinate ForTec uniform purchases for new hires and annual replenishments.
  8. Qualifications
  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • 1-2 years’ experience in coordinating business travel, project planning, and managing deadlines.
  • Proficiency in Microsoft Office applications.
  • Occasional flexibility outside business hours for travel issues.
  • Strong teamwork, interpersonal, relationship management, self-motivation, and self-direction skills.
  • Attention to detail, follow-up, good judgment, and problem-solving abilities.
  • Strong analytical skills, organization, accuracy, and high attention to detail.

Additional Information

  • An on-site work schedule is required during training; hybrid work is available afterward.
  • Travel requirements: one out-of-state trip and one international trip annually.
