POSITION SUMMARY
Reporting to the Executive Director, this position is responsible for providing essential administrative support across the agency and its programs to ensure smooth day-to-day operations.
Requirements
ESSENTIAL DUTIES AND RESPONSIBILITIES
Administrative Support
· Greet all guests and alert appropriate staff to their arrival.
· Maintain visitation and parking logs for students, potential students, and guests.
· Keep organizational literature in the reception area clean and clutter-free.
· Order and manage office and program supplies and inventory, ensuring an organized and well-stocked workspace. Support event coordination, including logistics, setup, and vendor communication. Maintain confidentiality of sensitive information and ensure compliance with organizational policies.
· Provide general office support, including handling mail, coordinating maintenance requests, and assisting with special projects.
· Monitor the atlinfo@strive.org inbox and ensure messages are forwarded to appropriate staff with proper follow-up.
· Answer and manage incoming calls professionally, directing calls appropriately or providing general information about STRIVE.
· Provide interested individuals with information about STRIVE programs and the intake process.
Program Support:
· Organize all logistical aspects of combined student graduations for STRIVE Atlanta programs.
· Create program rosters and sign-in sheets and distribute these to CSIs weekly, ensure sign-in are collected on a daily basis.
· Order all meals for program events including student lunch, approximately one to two times each week.
· Upload student certifications on Apricot.
· Organize and maintain both digital and physical filing systems for all program participants, with a focus on SNAP recipients.
· Create, maintain, and update individualized files and plans for each SNAP participant.
· Support the documentation of disenrollments, assessments, and participation milestones for all SNAP recipients.
· Assist with order, pickup and distributing incentives when other program team members are unavailable.
· Collaborate with the team to maintain clothing closet, including monitoring access, donations & usage.
· Support various team projects and initiatives as requested.
Financial/Operations Administration:
· Reconcile all program expenses monthly for credit card (AMEX) and petty cash.
· Process, track and allocate all program invoices.
· Forward necessary onboarding paperwork for Signature payroll to program leadership as needed.
· Review documentation before submitting to Signature, including I-9 and tax
· information.
· Record interns and temp employees’ data to track hours worked for management
· reconciliation.
· Send payment requests to Fiscal weekly and allocate expenses to funding sources monthly.
Facilities:
· Collaborate with Executive Director and Director of Operations to oversee facility operations, ensuring a safe and efficient work environment, including coordinating maintenance and repairs.
· Manage vendor relationships for building services (cleaning, security, HVAC, maintenance).
· Serve as the primary contact for facility-related issues, ensuring timely resolution of maintenance requests.
· Monitor office space planning and overall organization.
· Ensure compliance with safety regulations and emergency preparedness protocols.
· Coordinate office moves, renovations, and equipment installations as needed.
· Collaborate with the Executive Director and fiscal team on facility-related expenses, budgets, and vendor contracts.
Communications & Marketing Support:
· Communicate with the marketing team to coordinate collateral, promotional materials, and branding needs.
· Gather content, success stories, and program updates for the monthly newsletter, ensuring timely submission.
· Support social media efforts by providing site updates and participant success stories to the Marketing & Communications team.
· Coordinate photography and content collection for marketing materials, documenting site activities and events.
QUALIFICATIONS
· Bachelor's degree preferred with At least 2 years of administrative support experience, including data entry in CRM database systems or High School diploma, GED, or HSE with at least four years of administrative support experience.
· Excellent verbal and written communication skills.
· Accurate detail-oriented, and self-directed; able to work independently and collaboratively with a small team.
· Proficient in Microsoft Suite (Word, Excel, PowerPoint).
· Ability to handle high-pressure and high-volume workloads.
