Position Summary

The Administrative Office Manager ensures efficient office operations, coordinating communication, scheduling, and administrative tasks. This role supports Empower Pharmacy’s mission by fostering collaboration and maintaining a productive, organized work environment.

Duties and Responsibilities
  • Manages administrative support tasks, including correspondence, scheduling, and inquiries, while serving as a primary point of contact for internal and external communications.
  • Oversees office facilities and supplies, coordinating maintenance and vendor relations to ensure a well-functioning and productive work environment.
  • Organizes and maintains physical and digital filing systems, ensuring easy access and confidentiality of sensitive information.
  • Coordinates travel arrangements, manages scheduling for meetings and events, and supports office events with logistical planning and catering.
  • Assists with financial tasks like processing expenses and invoicing, tracks hourly employee attendance, and supports onboarding and Human Resources (HR) processes.

While performing the responsibilities of the job, the employee is required to talk and hear . The employee is often required to remain in a stationary position for a significant amount of the workday and frequently use their hands and fingers to handle or feel in order to access, input, and retrieve information from the computer and other office productivity devices . The employee is regularly required to move about the office and around the corporate campus . The employee is regularly required to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl.

Knowledge and Skills
  • Demonstrates exceptional organizational, multitasking, and problem-solving skills, with the ability to work independently and manage multiple priorities in a fast-paced environment.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software, with experience in budget management and financial reporting preferred.

Experience and Qualifications
  • Bachelor’s or Associates degree in business administration, HR , communication, or any related field.
  • Minimum of 5 years of experience in office administration or office manager role in a mid-size to large organizations (30+ people).
