Responsibilities:
- Greet guests, direct them appropriately, and offer hospitality including water or coffee
- Answer and direct incoming phone calls in a courteous and professional manner
- Manage inventory and order office supplies, including kitchen and breakroom stock
- Ensure the efficient functioning of the office environment
- Manage Office Facilities, including cleaning, and maintenance
- Assist in coordination of office activities
- Schedule meetings for the Multi-Purpose Rooms and ensure proper setup prior to meetings and events
- Ensure visitors follow sign-in procedures and adhere to guest protocols
- Sort and distribute incoming mail and promptly notify employees of deliveries
- Coordinate and manage all outgoing shipments, including FedEx and courier services
- Order business cards as requested
- Assist with expense reports for the CEO and CFO by scanning receipts and matching system entries
- Provide administrative support to all Executive Assistants with overflow work and departmental needs
- Support departments without a dedicated Executive Assistant with general administrative tasks
- Assist in preparing Customer Complaint Reports and other special projects as assigned
- Assist with preparation, logistics, and on-site needs when the Board of Directors is on-site
Qualifications:
- Minimum of 5 years of receptionist, office management, or administrative experience required
- High school diploma or equivalent required
- Professional training in reception and office management
- Strong verbal and written communication skills
- Excellent organizational and customer service skills
- Ability to manage multiple responsibilities in a professional, fast-paced environment
- Professional appearance and work ethic
