Job summary

Youth Advocate Programs, Inc. is seeking an Administrative Manager to provide office support for the Philadelphia Program, act as receptionist, and oversee weekly paperwork and payroll processing.

The role handles confidential participant and personnel records, collaborates with staff and service providers, and requires organization, dependability, and strong MS Office skills. Flexible schedule with some evenings and weekends; travel may be required.

Qualifications

  • Minimum High School Diploma or GED.
  • Associates degree preferred.
  • Proficient in Microsoft Office Suite; database software experience.
  • Excellent written and verbal communication.
  • Ability to multi-task and meet deadlines in a fast-paced environment.
  • Valid driver’s license; reliable transportation.
  • Bilingual/Spanish speaking a plus.

Responsibilities

  • Provide office receptionist duties and general office support.
  • Prepare weekly paperwork and payroll processing.
  • Maintain confidential participant and personnel records.

Job description

Summary of the Position: Administrative Manager provides office support for all aspects of the Philadelphia Program. The Administrative Manager functions as the office receptionist, prepares weekly paperwork, and payroll processing. Also, maintains confidential participant and personnel records.

  • Individual must be able to work in a fast paced and demanding environment and maintain a professional manner with staff, families, and other service providers.
  • Should be organized, pay attention to detail, have good time management skills, and be computer literate (Proficient in Microsoft Office Suite- Word Processing and Spreadsheet Software)
  • Should have the ability to work well with others, be friendly and have an outgoing personality.

Availability: Flexible Schedule, some evenings and weekends

Qualifications/Requirements
  • Minimum High School Diploma or GED is required.
  • Associates degree is highly preferred.
  • Proficient in Microsoft Office Suite, specific skills will be evaluated upon interview.
  • Knowledge and experience using database type software
  • Proven experience in an administrative role.
  • Some understanding of insurance, and third-party billing is helpful.
  • Excellent written and verbal communication skills
  • Ability to multi-task, prioritize, and meet deadlines in a fast-paced environment
  • Position requires reliable transportation, valid driver's license, and current auto insurance coverage.
  • Bilingual/Spanish Speaking is a plus.
