Job summary

Katalon LLC is seeking a part-time Administrative Event Coordinator for our US office in Atlanta. The role focuses on planning and coordinating corporate events, managing logistics, and maintaining a welcoming, efficient office environment.

Ideal candidates will enjoy organizing events, coordinating logistics, and supporting day-to-day administrative tasks in a global setting. The position offers on-site work, Monday and Wednesday hours, and opportunities to contribute to internal engagement

Qualifications

  • Proficiency in Google Workspace (Gmail, Calendar, Drive, Sheets, etc.).
  • Strong communication and interpersonal skills.
  • Demonstrated interest or experience in event planning, event coordination, office administration, or logistics.
  • Strong attention to detail with the ability to manage multiple tasks and deadlines.
  • Good organizational and coordination skills.
  • Knowledge of general administration and office protocols.
  • Availability to work on-site in Atlanta, GA, typically on Mondays and Wednesdays from 7:00 AM to 3:30 PM, including a 30-minute unpaid lunch break (16 paid hours per week).

Responsibilities

  • Plan, coordinate, and support logistics for corporate and business events, including flight, hotel, meeting package, transportation, and F&B bookings.
  • Support event setup, decoration, and on-site logistics to ensure events run smoothly.
  • Assist with office decoration and engagement activities for special occasions.
  • Support Admin team engagement initiatives and internal events.
  • Coordinate event-related vendors, supplies, and logistics as needed.
  • Support event-related expense tracking and basic budget coordination.
  • Provide ad hoc event and project support as needed.
  • Welcome guests and support physical security procedures in coordination with building management.
  • Handle incoming phone calls and redirect them to relevant staff.
  • Scan, organize, and distribute documents and office materials.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Coordinate courier and delivery services.
  • Maintain a clean, organized, and professional office environment.
  • Manage office supplies and refreshments, including stationery, printing materials, coffee, plants, and other general office needs.
  • Coordinate office orders and ensure adequate stock availability.
  • Manage seating plans, global shipments, access cards, and parking.
  • Support employee onboarding and offboarding activities, including IT coordination for laptops and office access.

About the role

The Administration Department creates and advances an efficient and sustainable office environment and strives for world-class customer service by ensuring smooth day-to-day operations through strategic cost optimization and innovative solutions.

We are looking for a part-time Administrative Event Coordinator (US office) to support event coordination and day-to-day office operations in a dynamic, global environment. This role is ideal for someone who enjoys organizing events, coordinating logistics, and ensuring a smooth and welcoming office experience.

Event Management & Support (60%)
  • Plan, coordinate, and support logistics for corporate and business events, including:

    • Flight bookings

    • Hotel bookings

    • Meeting package reservations

    • Transportation arrangements

    • F&B arrangements

  • Support event setup, decoration, and on-site logistics to ensure events run smoothly.

  • Assist with office decoration and engagement activities for special occasions, such as Christmas, New Year, and cultural celebrations.

  • Support Admin team engagement initiatives and internal events.

  • Coordinate event-related vendors, supplies, and logistics as needed.

  • Support event-related expense tracking and basic budget coordination.

  • Provide ad hoc event and project support as needed.

Office Operations (40%)
  • Welcome guests and support physical security procedures in coordination with building management.

  • Handle incoming phone calls and redirect them to relevant staff.

  • Scan, organize, and distribute documents and office materials.

  • Manage incoming and outgoing mail, packages, and deliveries.

  • Coordinate courier and delivery services.

  • Maintain a clean, organized, and professional office environment.

  • Manage office parking arrangements and parking-related coordination.

  • Manage office supplies and refreshments, including stationery, printing materials, coffee, plants, and other general office needs.

  • Coordinate office orders and ensure adequate stock availability.

  • Manage seating plans, global shipments, access cards, and parking.

  • Support employee onboarding and offboarding activities, including coordination with IT for laptop delivery/return shipments, office access, and parking management.

  • Track and manage office fixed assets.

  • Perform other administrative duties as assigned.

REQUIREMENTS:
Must-have:
  • Proficiency in Google Workspace (Gmail, Google Calendar, Google Drive, Google Sheets, etc.).

  • Strong communication and interpersonal skills.

  • Demonstrated interest or experience in event planning, event coordination, office administration, or logistics.

  • Strong attention to detail with the ability to manage multiple tasks and deadlines.

  • Good organizational and coordination skills.

  • Knowledge of general administration and office protocols.

  • Ability to follow company principles, guidelines, and practices.

  • Availability to work on-site in Atlanta, GA, typically on Mondays and Wednesdays from 7:00 AM to 3:30 PM, including a 30-minute unpaid lunch break (16 paid hours per week).

Nice-to-have:
  • Experience supporting corporate or internal events.

  • Familiarity with project and workflow management tools (e.g., Jira).
