Job Description
The Administrative Coordinator supports the mission, vision, and values of Northwestern Memorial, adhering to our Code of Ethics and Corporate Compliance Program, and complying with all relevant policies, procedures, guidelines, and accreditation standards.
The role involves providing high-level administrative support to Directors, utilizing independent judgment to execute projects and manage workflow. The ideal candidate will demonstrate superior organizational skills, strong interpersonal and communication skills, proficiency in Microsoft Office applications (Word, Excel, PowerPoint), and adaptability.

Responsibilities:

  1. Prepare documents and manage data using NM software applications, including Microsoft Office.
  2. Manage calendars, set meeting priorities, prepare meeting objectives and materials, and ensure appropriate attendance.
  3. Screen incoming emails, mail, and calls to prioritize and allocate resources.
  4. Plan and execute activities such as room scheduling, signage, catering, and support for projects and meetings.
  5. Assist in creating and preparing presentation and printed materials for management and committees.
  6. Maintain confidentiality and security of sensitive information.
  7. Draft responses on behalf of the Director or department.
  8. Perform additional duties as assigned.
  9. Utilize institutional resources to complete tasks and projects.
  10. Develop and maintain relationships with customers and vendors, especially those supporting department equipment.
  11. Support the Division Vice President as needed.
  12. Transcribe meeting content as required.
  13. Conduct internet research and summarize relevant topics.

Qualifications

Required:

  • Associate's degree or equivalent relevant administrative experience
  • 3-5 years of experience in a business office, with emphasis on database management and customer service
  • Proficiency in Microsoft Office, PowerPoint, and Excel
  • Strong organizational and independent thinking skills
  • Excellent interpersonal skills

Preferred:

  • B.A. degree or equivalent business experience with 5 years in the field
