Administrative Coordinator-Gastroenterology Full Time Days

Job Description

The Administrative Coordinator reflects the mission, vision, and values of Northwestern Memorial Hospital, adheres to the organization’s Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines, and all other regulatory and accreditation standards.

Responsibilities
  1. Perform high-level technical and administrative work supporting the division or unit independently.
  2. Serve as a project manager for various special projects, conduct studies and analyses, and make recommendations to resolve organizational, procedural, and system problems.
  3. Create and revise systems and procedures by analyzing operating practices, record-keeping systems, forms control, supplies inventory, and office layout. Implement changes independently within areas of responsibility.
  4. Make recommendations and, following managerial review, implement changes for issues outside responsibility.
  5. Use organizational software applications to research and prepare documents and presentations.
  6. Collect, analyze, and manage data.
  7. Manage calendar, set meeting priorities, identify objectives and materials needed for meetings, and ensure appropriate attendance.
  8. Screen incoming emails, mail, and calls to prioritize, route, and identify additional resources needed.
  9. Plan and execute events, activities, and meetings independently.
  10. Assist with creation, preparation, and distribution of materials for all organizational levels.
  11. Maintain security and confidentiality of sensitive information while managing correspondence.
  12. Draft responses on behalf of the director or department.
  13. Develop and maintain relationships with internal and external customers, including patients, providers, staff, and vendors.
  14. Record meeting discussions by attending and documenting key points and conclusions.
  15. Perform other duties as assigned.
Qualifications
Required:
  • Associate's degree or equivalent relevant administrative experience.
  • Knowledge of Microsoft Office, PowerPoint, and Excel.
  • Ability to organize and think independently.
  • Excellent interpersonal skills.
Preferred:
  • Bachelor of Arts degree or business equivalent.
  • Five years of business experience.
