Responsibilities

  • Serve as the “face” of the assigned department and the first point of contact for faculty, staff, students, and visitors.
  • Triage requests, resolve problems, or direct individuals to resources; maintain professional office spaces.
  • Coordinate procurement activities, including purchase requisitions and travel authorizations, while complying with university policies.
  • Assist with faculty hiring processes, tenure and promotion documentation, and annual reviews as needed.
  • Provide administrative support to the department chair, manage meetings, communications, and travel arrangements.

The Administrative Coordinator in the Department of Electrical Engineering in the Molinaroli College of Engineering and Computing ensures the smooth daily operations of the department by serving as the primary point of contact for visitors, faculty, staff, and students while maintaining a professional and welcoming office environment. This role manages front desk responsibilities, work requests, schedules appointments, coordinates meetings, drafts correspondence, assists with the processing of invoices, assists with travel requests and reimbursements, and assists with purchasing and printing tasks. The position requires strong organizational skills, attention to detail, and efficiency to support the department’s overall functionality.

Job Related Minimum Required Education and Experience

  • Requires a bachelor’s degree in a job related field and 1 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.

Required Certification, Licensure/Other Credentials

Preferred Qualifications

  • Knowledge of University of South Carolina policies and procedures.
  • Experience in Banner, Blackboard, SharePoint, and PeopleSoft Systems.
  • Knowledge of government policies and procedures.

Knowledge/Skills/Abilities

  • Ability to exercise discretion in interpreting and applying established policies and procedures and when dealing with people.
  • Ability to set priorities and manage details.
  • Medium to high level of proficiency in Microsoft Office suite (Word, Excel, PowerPoint, and Outlook, Access), and ability to quickly learn online tools such as SharePoint, Blackboard.
  • Experience in an educational setting.
  • Basic understanding of computer hardware and software and use of presentation equipment.

Job Duties

Job Duty Serve as the “face” of the assigned department and the first point of contact for faculty, staff, students, other university constituents, and visitors. Cheerfully triage requests, resolve problems when possible, or direct individuals to the appropriate resources. Demonstrate initiative and a self-starter approach by actively identifying potential issues, anticipating departmental needs, and taking appropriate action to address them before they become problems or require direction. Responsibilities include answering phones, responding to emails, greeting visitors, and ensuring all departmental office, lab and meeting spaces are professionally maintained though coordination with multiple university constituents .

Job Duty Collaborate with the assigned departmental business manager to ensure proper application of procurement practices, including preparing expenditure vouchers, preparing purchase requisitions, purchasing departmental supplies, serving as the department’s Credit Card Liaison, processing travel authorizations, processing TRVs, and processing payment requests. Ensure all activities comply with university policies and cost‑saving measures.

Job Duty Combine, compile and control confidential department files related to Faculty Tenure and Promotion, class evaluations, salaries, annual reviews and strategic planning. Assist with Faculty hiring and department T&P process. Assist in the preparation of faculty award nominations and T&P. Assist the department Faculty Search Committee as needed, including HR paperwork for new hires.

Job Duty Provide primary administrative support to the department chair by scheduling and organizing meetings, managing departmental mail, departmental communications and shipments, maintaining department annual inventory, approving timecards and serving as the space management liaison to include the booking of departmental space and coordination of renovation efforts. In addition, assist the chair in drafting documents based on verbal or email instructions, compiling departmental data into charts, reports, and presentations, reviewing documents before submission for signature, and tracking deadlines for various departmental processes. At the direction of the department chair, oversee activities that support the department, including coordinating seminar speakers, planning events and meetings, summer camps, organizing schedules and agendas, preparing announcements, and arranging snacks, meals, space, and managing travel and accommodations for visiting guests.

Job Duty Undergraduate Student Program Support: Assists the Undergraduate Director for the Department with general undergraduate student support, processing of paperwork and other undergraduate accreditation related documents.

Job Duty Accepts other related duties and special projects as assigned and attends occasional after‑hours events as directed.
