Administrative Coordinator I, Agency East Texas A&M University Department Nursing
DUTIES & RESPONSIBILITIES
- Coordinates administrative support functions.
- Plans and coordinates administrative activities and services.
- Participates in the planning and execution of administrative operations.
- May serve as the office manager.
- Monitors office procedures.
- Develops, evaluates, and ensures adherence to office procedures.
- Assists in the development of budget and grant funding tracking.
- Records meeting minutes and tracks completion of tasks for various faculty committees.
- Formulates, interprets, and/or implements management policies or operating practices.
- Develops administrative and technical procedures.
- Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies and procedures.
- Maintains current knowledge of University and School of Nursing policies and procedures and may monitor compliance.
- Performs special analyses and project summaries.
- Prepares and reviews operational and special reports and compliance with regulatory reporting, as required.
- Coordinates office records retention and maintains office references and resources materials.
- Coordinates travel arrangements and prepares itineraries.
- Plans and coordinates meetings, seminars, and other special events.
- Coordinates the maintenance of office supplies and equipment.
- Makes recommendations for process improvements, administrative changes, or new initiatives.
- Supervises, trains, and evaluates the work of student workers.
- Assigns tasks and evaluates job progress.
- Maintains departmental calendar and schedules faculty committee meetings.
- Assists with the maintenance of student rosters, faculty roster, and phone/email list of faculty and staff.
- Utilizes university and school systems/software to coordinate administrative processes for various on‑campus and off‑campus recruitment events.
- Plans, organizes and/or assists with School of Nursing events (i.e., Pinning, Nursing Honor Society Induction, White Coat Ceremony, New Student Orientation, Recruitment Events, etc.).
- Oversees inventory of promotional items and recruitment publications.
- Assists faculty in the management of the School of Nursing admissions and scholarship processes.
MINIMUM REQUIREMENTS
- Bachelor’s degree or equivalent combination of education and experience.
- Two (2) years of related administrative experience in higher education.
- Knowledge of word processing, spreadsheet, and database and presentation applications.
- Effective verbal and written communication skills.
- Strong interpersonal and organizational skills.
- Ability to multitask and work cooperatively with others.
- Ability to work with sensitive information and maintain confidentiality.
- Planning and organization skills.
PREFERRED EDUCATION / SKILLS / EXPERIENCE
- Knowledge of and experience with FAMIS, CANOPY and Banner.
