Qualifications

  • Bachelor’s degree or HS diploma with equivalent experience in executive/administrative support.
  • Experience in administrative/office management or business support preferred.
  • Proficiency with SAP, Concur and/or UKG/Kronos is a plus.
  • Strong organizational skills and ability to multitask in a fast-paced environment.
  • Excellent written and oral communication abilities.

Responsibilities

  • Provide calendar management for Leaders and direct reports; coordinate meetings with executives and assistants.
  • Maintain executive files and interpret procedures for requests.
  • Arrange domestic and international travel within policy; create itineraries.
  • Prepare and submit expense reports in a timely manner.
  • Create and edit PowerPoint presentations for meetings.

REYNOLDS AMERICAN has an exciting opportunity for an Administrative Coordinator in Winston-Salem, NC

The Administrative Coordinator provides administrative, operational, and organizational support to leadership teams and assigned business units. The role serves as a key point of contact for employees, managers, and cross-functional partners while ensuring efficient execution of administrative processes, workforce support activities, communications, documentation management, and office operations. The position helps maintain compliance with company policies and supports day-to-day business continuity.

Your Key Responsibilities Will Include
  • Provide calendar management for the coordination of meetings for Leaders, Operations, and direct reports. Interact with executives and executive assistants, as well as consultants/vendors.
  • Maintain executive office files and records; interpret and explain departmental procedures and executives' requests in response to requests or refer inquiries, as appropriate.
  • Make travel arrangements (domestic & international) within company policy for assigned leaders and support for visitors, as needed. Includes booking air, car and hotel; reserving offices/meeting rooms; generating itinerary with all contact numbers and information and attaches necessary documentation needed for trip; updates calendar with all information.
  • Create, update, and submit expense reports in a timely manner, when requested.
  • Copy/distribute documents as needed; open and distribute mail; process overnight deliveries.
  • Prepare and edit presentations in PowerPoint and facilitates the sharing of presentations during meetings, as requested.
  • Represent the Company in a positive, friendly, and professional manner to both internal and external contacts; receive and direct visitors in a professional manner.
  • Independently perform confidential office/administrative duties with speed, accuracy, and a positive pleasant attitude; create and maintain highest levels of confidentiality when dealing with proprietary information.
  • Collaborate with other executive assistants to identify "best practices" and a consistent approach to cross department functions.
What are we looking for?
  • Bachelor’s degree or High School diploma with equivalent experience as executive/administrative assistant.
  • Administrative, office management, or business support experience preferred.
  • Experience using SAP, Concur and/or UKG/Kronos would be nice to have.
  • Excellent organizational skills with the ability to adapt to change quickly and multi-task assignments.
  • Ability to work independently in a fast-paced environment.
  • Ability to work a flexible schedule when workloads and deadlines require.
  • Strong working knowledge of Microsoft applications (Word, PowerPoint, Excel).
  • Strong problem analysis and problem-solving skills.
  • Excellent oral and written communication skills.
