Job summary

Reynolds American is seeking an Administrative Coordinator in Winston-Salem, NC to provide administrative, operational, and organizational support to leadership teams and business units. You will manage calendars, coordinate travel (domestic and international), prepare expense reports, and support documentation and meetings with confidentiality and professionalism.

Qualifications

  • Bachelor’s degree or High School diploma with equivalent experience as executive/administrative assistant.
  • Administrative, office management, or business support experience preferred.
  • Experience using SAP, Concur and/or UKG/Kronos would be nice to have.
  • Excellent organizational skills and ability to multi‑task.

Responsibilities

  • Provide calendar management for Leaders, Operations, and direct reports; interact with executives and assistants.
  • Maintain executive office files and respond to inquiries; interpret departmental procedures.
  • Make travel arrangements (domestic & international) within policy and support visitors.
  • Create, update, and submit expense reports in a timely manner.
  • Copy/distribute documents and manage mail and deliveries.
  • Prepare and edit PowerPoint presentations for meetings.

REYNOLDS AMERICAN has an exciting opportunity for an Administrative Coordinator in Winston-Salem, NC

The Administrative Coordinator provides administrative, operational, and organizational support to leadership teams and assigned business units. The role serves as a key point of contact for employees, managers, and cross-functional partners while ensuring efficient execution of administrative processes, workforce support activities, communications, documentation management, and office operations. The position helps maintain compliance with company policies and supports day‑to‑day business continuity.

Your key responsibilities will include:
  • Provide calendar management for the coordination of meetings for Leaders, Operations, and direct reports. Interact with executives and executive assistants, as well as consultants/vendors.
  • Maintain executive office files and records; interpret and explain departmental procedures and executives' requests in response to requests or refer inquiries, as appropriate.
  • Make travel arrangements (domestic & international) within company policy for assigned leaders and support for visitors, as needed. Includes: booking air, car and hotel; reserving offices/meeting rooms; generating itinerary with all contact numbers and information and attaches necessary documentation needed for trip; updates calendar with all information.
  • Create, update, and submit expense reports in a timely manner, when requested.
  • Copy/distribute documents as needed; open and distribute mail; process overnight deliveries.
  • Prepare and edit presentations in PowerPoint and facilitates the sharing of presentations during meetings, as requested.
  • Represent the Company in a positive, friendly, and professional manner to both internal and external contacts; receive and direct visitors in a professional manner.
  • Independently perform confidential office/administrative duties with speed, accuracy, and a positive pleasant attitude; create and maintain highest levels of confidentiality when dealing with proprietary information.
  • Collaborate with other executive assistants to identify 'best practices' and a consistent approach to cross department functions.
What are we looking for?
  • Bachelor’s degree or High School diploma with equivalent experience as executive/administrative assistant.
  • Administrative, office management, or business support experience preferred.
  • Experience using SAP, Concur and/or UKG/Kronos would be nice to have.
  • Excellent organizational skills with the ability to adapt to change quickly and multi‑task assignments.
  • Ability to work independently in a fast‑paced environment.
  • Ability to work a flexible schedule when workloads and deadlines require.
  • Strong working knowledge of Microsoft applications (Word, PowerPoint, Excel).
  • Strong problem analysis and problem‑solving skills.
  • Excellent oral and written communication skills.
