Job summary

Sound Royalties in West Palm Beach is seeking an Administrative Coordinator to provide comprehensive support to the President, Managing Partner and Director of Administration. You will help manage daily tasks, calendars, correspondence, meetings, and special projects while ensuring smooth vendor interactions and document accuracy.

You will handle confidential information, assist with presentations and reports, coordinate travel, and support corporate events.

About The Role

The Administrative Coordinator plays a crucial role in providing comprehensive administrative support to the organization, especially the Managing Partner/President and the Director of Administration. This position involves performing various administrative services, helping manage office operations, coordinating meetings and appointments, handling inquiries, working on special projects and events, and ensuring smooth vendor and service provider interactions. Additionally, the Administrative Coordinator is responsible for maintaining records, managing office supplies, and coordinating management team schedules.

Primary Responsibilities
  • Provide administrative support to the President including, but not limited to helping manage and prioritize daily tasks, monitoring and managing daily calendar, correspondence, including arranging meetings, conference calls, and appointments
  • Maintains discretion and confidentiality
  • Complete assigned project-based work and provide support to President, Director of Administration, and Senior Management team as needed, including making presentations, spreadsheets, and reports
  • Prepare and/or create error free documents and materials in a timely manner for internal/external communications
  • Perform various administrative tasks, including filing, mailing, bill payment, expense reports, record keeping, running errands, and managing office supply inventory
  • Act as the primary point of contact for the President for internal and external inquiries, providing prompt and professional assistance and responsiveness
  • Work on arranging and coordinating corporate events
  • Support President and Director of Administration in the company’s Strategic Planning process
  • Create and implement procedures for updating and organizing materials, promoting efficient record-keeping practices
  • Respond to emails, phone calls, and correspondence in a timely manner
  • Support the company’s travel coordinator by coordinating domestic and international travel arrangements, including flights, accommodations, and transportation
Experience
  • Previous administrative support role experience required
  • Excellent written and verbal communication skills
  • Ability to handle sensitive and confidential information
  • Strong organizational skills
  • Detail oriented with commitment to accuracy
  • Calendar and schedule management
  • Self-motivated and adaptable
  • Strong skills in Microsoft Office (Outlook, PowerPoint, Word, Excel)
  • This role works in the company’s West Palm Beach Office at least 4 days a week
