Overview

The Administrative Coordinator for the Center on the Biology of Aging provides high‑level administrative and operational support to the Director, faculty, and associated laboratory staff. This role involves complex project management, laboratory research support, instruction and professional activity support, and event planning. The coordinator serves as the lead contact representing the Center—including over 30 faculty across Brown University departments—to VIP guest speakers and emerging scientists the Center seeks to recruit.

Responsibilities
  • Process orders for Center faculty laboratories.
  • Plan and coordinate events.
  • Develop and maintain the Center’s website.
  • Maintain publication databases.
  • Schedule and arrange travel itineraries.
  • Monitor account budgets, reconcile ledgers, invoices, and purchase orders.
  • Process invoices and expense reports.
  • Provide course support.
  • Manage the Center’s listserv and email distribution.
  • Take meeting minutes.
  • Manage the Director’s calendar.
  • Perform other administrative and operational support duties as needed.
  • Assist in ad‑hoc projects and departmental events as required.
  • Note: Position is not eligible for visa sponsorship from Brown University.
Qualifications
  • Bachelor’s degree and 1–2 years of administrative support experience, preferably in an educational environment, or an equivalent combination of education and experience.
  • Previous Workday experience is preferred.
Competencies
  • Strong computer skills, including Word processing, financial programs, database management, and web‑based applications.
  • Excellent written and communication skills.
  • Ability to think independently and creatively.
  • Ability to handle multiple deadlines and projects.
  • Strong interpersonal skills.
  • Detail‑oriented.
