Position Overview

Available Title(s): 105G-YN_CS_NPS - Administrative Assistant 3 Business Title: Administrative Coordinator Employee Type: Classified Position Details: The Opportunity: In this role, you will provide advanced administrative and operational support for the Department of Veterinary Clinical Sciences (VCS) and the Veterinary Teaching Hospital (VTH). You will independently coordinate and administer a broad range of personnel, recruitment, faculty affairs, fiscal, and departmental business functions that require significant judgment, discretion, and knowledge of university policies and procedures. As a primary departmental resource and point of contact for administrative processes, you will provide guidance to faculty, staff, students, and external stakeholders. You will coordinate and administer faculty and staff recruitment, onboarding, personnel transactions, training compliance, travel and expense processes, space management, departmental events, and special projects. You will maintain confidential personnel, student, and financial information while developing and maintaining administrative systems and processes that support departmental operations and leadership decision‑making. In addition, you will provide direct administrative support to VCS leadership and regularly exercise independent judgment in resolving administrative issues and coordinating departmental initiatives.

Monthly Salary

Monthly Salary: $4,004 - $5,111 | Range 44 | Successful candidates are typically hired at the beginning of the salary range and receive scheduled salary increment increases in accordance with WAC 357-28. In accordance with RCW 49.58.110, the above salary reflects the full salary range for this position. Individual placement within the range is based on the candidate’s current experience, education, skills, and abilities related to the position.

Required Qualifications

High school diploma or equivalent AND three years of clerical, office or administrative experience. OR An Associate’s degree in business administration, public administration, or a closely related field may substitute for experience. AND one year of experience as an Administrative Assistant 2 or two years as an Administrative Assistant 1. OR Equivalent education/experience. Demonstrated experience coordinating multiple projects, processes, or priorities simultaneously. Experience handling confidential and sensitive information with discretion. Strong organizational, analytical, and problem-solving skills. Demonstrated proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint. Excellent written, verbal, and interpersonal communication skills. Ability to work independently and exercise sound judgment in resolving administrative issues. Experience providing customer service and professional support to individuals at varying organizational levels.

Preferred Qualifications

Experience providing administrative support in a higher education, healthcare, or similarly complex organization. Experience coordinating recruitment, onboarding, or personnel-related processes. Experience using Workday or other enterprise human resource and financial systems. Experience supporting fiscal, purchasing, travel, or compliance-related activities.

Background Check
