Responsibilities

  • Provide administrative and office support to the Department Administrator and staff.

  • Coordinate employee travel arrangements, authorizations, reimbursements, and documentation.
  • Assist with payroll and timekeeping activities, reviewing records for accuracy.
  • Support staffing and onboarding, maintain personnel documents.

  • Maintain files, calendars, and databases per procedures.
  • Schedule meetings, prepare agendas, record minutes, follow up actions.

  • Perform other duties and special projects as assigned.

Summary of Job Duties

The Administrative Coordinator works closely with the Department Administrator, Faculty, and the Administrative Services Manager to accomplish project goals. Under the direction from the Administrative Services Manager, the Administrative Coordinator provides administrative and office support. The duties include but not limited to purchasing, payroll, staffing, and travel. The Administrative Coordinator must exude professionalism and have knowledge of general business, be proficient in Microsoft Office, and exhibit strong oral and written communication skills. This position requires a highly organized, reliable individual who possesses a very strong work ethic and ability to complete tasks independently in a timely professional manner.

Qualifications
  • Bachelor’s degree plus two (2) years of experience in administrative coordination, project management, or project coordination; OR High school diploma or GED plus six (6) years of experience in administrative coordination, project management, or project coordination.

  • Excellent computer skills, including proficiency in Microsoft Office.
  • Ability to prepare accurate reports, spreadsheets, and professional correspondence.
