Job summary

University of Arkansas for Medical Sciences (UAMS) is seeking an Executive Assistant to provide senior-level administrative support to the Chair of the Department of Emergency Medicine, Department Administrator, faculty, and resident physicians in Little Rock, Arkansas.

Responsibilities include coordinating calendars, arranging travel, managing meetings and communications, preparing reports and minutes, and maintaining departmental records, with discretion handling sensitive information.

Qualifications

  • Bachelor's degree in business administration, finance, or related field, plus two years of administrative support experience.
  • High School Diploma/GED with six years of administrative support experience accepted as alternative.
  • Proficiency in Microsoft Office, Word, Excel and PowerPoint required.

Responsibilities

  • Manage the Chair’s calendar, travel arrangements, meetings, correspondence, and departmental activities.
  • Coordinate communication with faculty, staff, and other departments across campus.
  • Prepare presentations, reports, correspondence, meeting materials, and minutes.
  • Maintain departmental spreadsheets, databases, files, and records.
  • Process and reconcile faculty and staff travel expenses and the department’s BTA card account.
  • Procure departmental supplies and services and process purchase requisitions in Workday.
  • Identify and apply the appropriate cost centers for departmental expenses.
  • Serve as the departmental timekeeper and assist with screening applicant resumes.
  • Provide administrative support to the Department Administrator, faculty, and resident physicians.
  • Track faculty and resident expenditures from designated fund accounts.
  • Manage general office operations, including phone calls, visitors, mail, faxes, office supplies, and housekeeping requests.
  • Protect sensitive and confidential information.

Summary of Job Duties:

The Executive Assistant provides senior-level administrative support to the Chair of the Department of Emergency Medicine, Department Administrator, faculty, and resident physicians. This position coordinates departmental activities, manages calendars, meetings, travel, purchasing, timekeeping, communications, and financial records. The role requires independent judgment, strong organizational skills, and discretion when handling sensitive or confidential information.

Qualifications:
  • Education, general: Bachelor's degree in business administration, finance, or related field, plus two (2) years of administrative support experience OR High School Diploma/GED, plus six (6) years of administrative support experience.
Knowledge, Skills and Abilities:
  • Must also be proficient in Microsoft Office, Word, Excel, and PowerPoint.
  • Preference given to the applicant with cutting edge skills utilizing organizational software such as Box, Adobe Suite, RedCap database development and management skills, Workday experience, and professional caliber social media communications and experience with SharePoint.
