ADMINISTRATIVE COORDINATOR

Scope of Job

To coordinate activities and provide supervision in the operationand administration of a department. To relieve the administrator ofa large volume of complex decisions. Responsible for making complexadministrative decisions requiring knowledge of a wide range ofregulations, policies, and procedures. Also, responsible for fiscaland administrative activities for a large department orcomprehensive responsibility for the operation and direction of asmaller department.

Description of Duties
  • Plans, organizes, and coordinates administrativeoperations.
  • Assists director and/or manager in preparing and analyzingbudgets, merit pay recommendations, as well as assisting during theinterviewing/hiring process.
  • Maintains and verifies departmental personnel files includingrecords of required employee credentials and licensing.
  • Maintains departmental procedures manuals.
  • Schedules and arranges department and committee meetingsincluding the preparation of meeting notices and agendas.
  • Monitors and maintains control of expenditures withinbudgets.
  • Processes bills for payment.
  • Assists in report preparation and in responding to officialinquiries.
  • Coordinates procurement of equipment and supplies.
  • Interprets rules, regulations, and policies and executes asapplicable.
  • Relieves administrator of a wide variety of internaladministrative duties which require a thorough understanding of thefunctions, programs, and policies of the University anddepartment.
  • Interprets and reviews administrative decisions, policies, andinternal procedures.
  • Plans, supervises, and schedules the work of assignedstaff.
  • Determines work priorities and evaluates work progress.
  • Assists in the preparation of the annual budget and/or grantapplications and maintains the current status of the same withrespect to funds available and obligated.
  • Coordinates the collection of information or the preparation ofreports and compiles or supervises the compilation of data forreports.
  • Serves as a liaison with other departments on policies,procedures, and practices.
  • Reports directly to the top administrator in thedepartment.
  • Performs related duties as required.

Required Education

Bachelors Degree from an accredited University.

Preferred Education

Bachelors Degree in Business Administration from an accreditedUniversity.

Licenses/Certifications

None.

Required Experience

Two (2) years of office administrative or business managementexperience.

Preferred Experience

Experience within higher education. Experience with UTRGV systemsand platforms, including PeopleSoft AP and AR, reconciliations,TouchNet Marketplace, invoicing and purchasing processes, iTraveland OneCard, Concur, iShop, and room reservations/Ad Astra.

Equipment

Personal computer, word processing, spreadsheet, and databasesoftware. Standard office machines.

Working Conditions

Needs to be able to successfully perform all required duties.Indoor office environment.

Other

Some evening and /or weekend work and travel may be required.Ability to multi-task. Must possess strong interpersonal, oral, andwritten communication skills. Work requires the application ofconsiderable judgment and discretion.
