Qualifications

Scope of Job

To provide advanced and complex administrative support to a VicePresident or similar level position and assumes considerableresponsibility for office management. Responsible for many complexoffice decisions and administrative support, with minimaldirection.

Description of Duties
  • Provides diverse and complex administrative support to seniorlevel manager, Chief Financial Officer and Chief ExperienceOfficer.
  • Serves as liaison with other departments and externalcontacts.
  • Supervises and provides guidance to clerical support staff orstudent workers.
  • Responsible for all routine and non-routine administrativefunctions and correspondence.
  • Composes, reviews, and distributes confidential and complexcorrespondence, memos, reports, and requisitions that are sent tointernal and external contacts.
  • Responds independently within scope of responsibility.
  • Manages calendar and independently schedules appointments for theassigned supervisor.
  • Organizes and maintains records and filing systems.
  • May assist in processing various student forms and requests forthe appropriate review and approvals.
  • May provide general program information and materials to studentsand/or direct students to the appropriate student servicesresources.
  • May assist in coordination, planning, and/or staffing ofdepartmental meetings and events as needed for outreach,recruitment & education.
  • Processes personnel actions upon direction of thesupervisor.
  • Oversees and processes purchase requisitions and orders, travelrequests and reimbursements.
  • Develops and evaluates complex records and prepares reports froma variety of materials.
  • Monitors expenditures and income against the budgets, maintainsaccurate accounting ledgers and facilitates monthly reconciliationsof accounts.
  • Analyzes and prepares graphs and charts for management use orpresentations about departmental or divisional activities.
  • Coordinates and arranges meetings, conferences and committeemeetings.
  • Makes complex travel arrangements.
  • Selects and recommends purchases of appropriate office suppliesand equipment.
  • Oversees inventory and maintains personnel records withindepartment.
  • Assists in the preparation of budgets and other periodicreports.
  • May perform other duties as assigned.

General supervision by Vice President.

Supervision Given

Supervision over other clerical personnel.

Required Education

Associate degree in a related field or experience as outlinedbelow.

Preferred Education

Associate degree in Office Management.

Licenses/Certifications

None.

Required Experience

Five (5) years of office administrative experience, includingsupervisory experience. Experience may be substituted for educationon a 1-on-1 basis.

Preferred Experience

Experience obtained in a higher education setting. Experienceproviding direct administrative support to an executive.

Equipment

Knowledge of use of personal computer, word processing,spreadsheet, and database software. Standard officeequipment.

Working Conditions

Needs to be able to successfully perform all required duties. Workis performed primarily in a general office environment. Exerting upto 10 pounds of force occasionally, and/or a negligible amount offorce frequently or constantly to lift, carry, push, pull orotherwise move objects, including the human body. The role includesavailability for work beyond regular office hours, includingevenings and weekends, as needed. Location of position is McAllenand Edinburg. UTRGV is a distributed institution, which requirespresence at multiple locations throughout the Rio GrandeValley.
