Description
The Administrative Assistant serves as a key operational partner to the Communications team by providing comprehensive administrative, technical, and operational support to ensure the efficient day-to-day functioning of the department. This position is responsible for coordinating schedules, managing department workflows and technology platforms, supporting financial and purchasing activities, maintaining reporting systems, and assisting with departmental events and communications.
Working in a fast-paced, collaborative environment, the Administrative Assistant helps optimize business processes, improve operational efficiency, and support the successful execution of departmental initiatives through strong organization, attention to detail, and exceptional customer service.
Essential Duties and Responsibilities
Administrative Support
Coordinate and manage complex calendars for department leadership, including meetings, interviews, presentations, and engagements with internal and external stakeholders.
Provide proactive calendar management by prioritizing competing demands, resolving scheduling conflicts, and coordinating logistical details.
Prepare meeting agendas, briefing materials, presentations, and departmental communications.
Maintain departmental records, files, staff directories, and shared documentation.
Monitor and manage departmental email inboxes, ensuring timely responses and appropriate routing of requests.
Assist with onboarding and offboarding activities for department personnel and collaborators.
Hourly Pay Rate: $15.00 -$19.00
Qualifications
Minimum Qualifications
Associate's degree in Business Administration, Communications, Public Administration, or a related field required; Bachelor's degree preferred.
Two (2) years of progressively responsible administrative support experience in a professional office environment.
Equivalent combination of education and experience may be considered.
