Administrative Assistant to Property Manager

· Provides assistance to the Board in financial management, administration, policies and procedures, property infrastructure, organization, litigation processes, property collections, maintenance, and mechanical procedures.

· Reviews the quality of services provided to the Association.

· Communicates regularly with the Board of Directors via personal contact, telephone, or email, establishing a personal relationship.

· Schedules all Manager Teams meetings.

· Answers telephone calls from the Board of Directors and homeowners.

· Provides administrative support to Property Manager for annual budget and election meetings.

· Assists with phone system management (Ring Central).

· Conducts property visits occasionally, providing recommendations and observations for property improvement.

· Responds to and maintains all service gate requests, logs communications with the Board of Directors.

· Assists with obtaining and financing necessary insurance coverage.

· Follows company policies, including accounting and human resources policies.

· Keeps all records organized and confidential.

· Assists with ad hoc projects.

· Provides excellent customer service by attending to calls and messages promptly.

· Facilitates and attends after-hours committee meetings, writes minutes, and liaises with committee members.

· Acts as an intermediary with owners/residents and staff to ensure prompt responses to questions and problems.

· On-call approximately 2-3 times per year.

· At least 3 years of administrative experience preferred.

· Demonstrates tact, polished communication, and excellent written skills.

· Energetic, positive attitude, flexible, and willing to go above and beyond.
