Job Summary
The position involves performing professional administrative office support, applying various research techniques and methods, and control procedures in the development and operation of administrative systems, programs, policies, and practices for the assigned division. Work includes clerical duties, document processing, general office and division support functions, and supervising customer service.
Essential Job Functions
- Performs administrative and clerical functions for an individual, managerial group, or department.
- Executes complex, specialized administrative tasks requiring knowledge of county and/or department policies and procedures.
- Maintains files and records, prepares and verifies invoices, and processes bills for payment.
- Records personnel absence and vacation data.
- Ensures proper maintenance of office equipment.
- Responds to inquiries in writing and verbally.
- Reviews correspondence, conducts analysis, and responds timely.
- Manages inter-office schedules and appointments.
- Prepares and files daily correspondence, reports, directives, and legal notifications.
- Assists with budget preparation and daily control activities.
- Records financial transactions and verifies bills for payment.
- Manages purchase orders and fee collections for deposits.
- Prepares reports, updates files, orders supplies, and writes operational policies and instructions.
- Maintains confidentiality and security of sensitive information and files.
- Prepares correspondence based on established policies and procedures.
- Arranges meetings, travel, and maintains confidential files for department head.
- Handles mail, screens calls, and routes requests.
- Processes employee timesheets and maintains document files.
- Performs work at assigned location during business hours and other duties as assigned.
Additional Duties for Prosecuting Attorney
- Performs clerical tasks including answering phones, greeting visitors, mail distribution, and data entry.
- Researches legal sources to locate criminal convictions and contact information.
- Handles electronic filing of legal documents.
- Processes bad check complaints, accounts payable, and receivable for the Bad Check Unit.
- Manages restitution orders, including generating payment plans, collecting, and disbursing funds.
- Communicates with government officials, law enforcement, and the public.
