Job Description

This position offers the opportunity to provide administrative support to Forest Management with purchasing, accounting, and employee support responsibilities. The position will require a minimum of two days a week but may vary as workload dictates.

Examples of Duties
  • Under direct supervision, performs a wide range of administrative and program support duties, some of which may be complex in nature and may involve access to confidential, financial, personnel, and grant-related information.
  • Additional job description: Responsibilities may include, but are not limited to:
    • Purchasing and Accounting Support Provide administrative assistance with purchasing activities, including obtaining and organizing documentation, processing requests, tracking orders, and maintaining records. Assist with invoice processing, payment documentation, expense tracking, and reconciliation activities as assigned. Review financial documentation for completeness and accuracy and bring discrepancies or questions to the attention of appropriate staff. Maintain organized purchasing and accounting records in accordance with agency policies and applicable requirements. Assist with gathering financial information and documentation for reports, audits, and internal reviews.
    • Employee and General Administrative Support Provide administrative support for employee-related processes, records, forms, and other documentation as assigned. Assist with maintaining accurate and confidential personnel and administrative files. Prepare correspondence, reports, spreadsheets, forms, presentations, and other documents as needed. Assist with scheduling meetings, coordinating administrative activities, preparing meeting materials, and documenting follow-up items. Respond to routine inquiries and provide timely assistance to staff, subgrantees, vendors, and other stakeholders. Enter, update, and maintain information in databases, spreadsheets, and other agency systems. Assist with office operations and special projects as assigned. Perform other related administrative duties and responsibilities as assigned.
    • Grants Management Support Assist U&CF grants staff with the review and processing of subgrant reimbursement requests to ensure documentation is complete, accurate, and consistent with approved budgets and applicable requirements. Review subgrantee submissions for completeness and identify missing or inconsistent information for follow-up. Assist with tracking reimbursement requests, payments, deadlines, and outstanding documentation. Ensure completion and maintenance of required subgrantee paperwork, reports, certifications, and supporting documentation in accordance with federal, state, funding-source, and agency requirements. Assist with monitoring subgrant files for compliance, accuracy, and completeness. Maintain organized electronic and paper grant files to support program tracking, reporting, monitoring activities, and audits. Assist with preparing information and documentation needed for grant monitoring, financial reviews, and audits. Utilize the grants management website and related systems to enter, update, monitor, and retrieve grant and subgrant information. Track grant-related deadlines and assist staff in ensuring required submissions are completed timely. Communicate with subgrantees and internal staff regarding documentation, reimbursement requests, reporting requirements, and other administrative matters. Maintain confidentiality of grant, financial, organizational, and other sensitive information.
Minimum Qualifications

Associate degree from an accredited college or university OR TWO years of related experience, working knowledge of excel and other Microsoft Office programs. Must be a self-started with excellent customer service skills and the ability to work independently, as well as strong attention to detail, a commitment to accuracy, ability to communicate in a professional and effective manner, skilled at prioritizing tasks, excellent organizational and time management abilities.
