Job summary

The Jewish Federation of Detroit seeks an Administrative Assistant to support NEXTGen Detroit, handling calendars, events, and communications. The role requires strong organization, discretion, and tech proficiency with MS Office in a fast-paced environment.

You will assist with event planning, social media coordination, and cross-department collaboration, including outreach and registration for major events.

Qualifications

  • Experience assisting Executive level management is a plus.

Responsibilities

  • Provide high-level confidential administrative support to NEXTGen Detroit.
  • Maintain the Director’s calendar and schedule meetings.
  • Assist with all aspects of event planning, including RSVPs and materials.
  • Use MS Office for daily communications and tasks.
  • Utilize Reach, Asana, Mailchimp, internal database and Google platforms.
  • Coordinate social media presence on platforms like Instagram, Facebook, TikTok.
  • Coordinate mailings with IT and Marketing.
  • Address phone and email inquiries.
  • Assist with registration at major events throughout the year.
  • Role includes 2 evenings a month and periodic weekend events.

In this role, you'll manage multiple tasks, handle confidential information, and contribute to planning unforgettable events. Strong communication skills, tech proficiency (MS Office), and attention to detail are key.

Primary Responsibilities
  • Performing high-level, confidential and administrative support functions in the NEXTGen Detroit Department, assisting team members with various tasks
  • Maintain the Director’s calendar, schedule meetings and appointments
  • Responsible for assisting with all aspects of event planning, including scheduling meetings, booking rooms and refreshments, follow-up of RSVPs and preparing materials
  • Using Microsoft Outlook, Word, and Excel for daily communications and tasks
  • Use of Reach, Asana, Mailchimp, internal database and Google platforms as needed
  • Work with staff to manage social media presence on platforms like Instagram, Facebook, TikTok, etc.
  • Coordinating mailings with IT and Marketing Departments
  • Addressing and appropriately responding to phone and email inquiries
  • Assist with registration at major events throughout the year
  • Role will include working 2 evenings a month, periodic weekend events
Required Skills & Abilities
  • High School diploma, bachelor’s degree preferred.
