Location
The candidate must reside within the following counties in Region 8: Bexar, Kerr, Bandera, Gillespie, Kendall, Comal, Guadalupe, Frio, La Salle, Atascosa, Wilson, Karnes, Victoria, De Witt, Lavaca, Calhoun, Jackson, Val Verde, Edwards, Real, Kinney, Uvalde, Medina, Maverick, Zavala, and Dimmit County.
Primary Function/Responsibilities
This position provides administrative support for the Intake and Placement Department. It interacts with all SJRC/Belong departments and programs, Belong Network Providers, community leaders, resources, and the Texas Department of Family Protective Services. The role is primarily remote but requires travel for in-person meetings.
Essential Duties and Responsibilities
- Perform data entry into IMPACT and other electronic systems.
- Support administrative needs of the Director and Supervisor.
- Support administrative needs of Data Compliance.
- Work within Excel spreadsheets and prepare statistical reports.
- Promote cultural competence, sensitivity, and humility among coworkers and contacts.
- Type meeting minutes, correspondence, forms, and documents.
- Communicate regularly with Intake Supervisor and Director regarding staff compliance and training.
- Coordinate with internal departments, external providers, community leaders, DFPS, and other SSCCs.
- Track and report placement referrals.
- Provide reports to Directors as needed.
- Maintain the Intake SharePoint.
- Schedule and coordinate room reservations and meetings.
- Answer and screen telephone inquiries; take and route messages; record intake information.
- Respect cultural diversity in all interactions.
- Travel is only for in-person meetings, with prior notification.
- Perform other duties as assigned to support department operations.
Qualifications
Required
- Associate's degree in business management or a related field.
- At least 2 years of related administrative or support experience.
Preferred
- Bachelor's degree in business management or related field.
- Proficiency in Microsoft Office, including Excel, PowerPoint, Teams, and virtual platforms.
- Knowledge of CareMatch, IMPACT, and Texas Provider Gateway (TPG).
- Team player with excellent verbal and written communication skills.
- Ability to embody the organization's mission, vision, and values with a Trauma-Informed Care approach.
- Valid Texas Driver's License, good driving record, own transportation, and proof of insurance.
Physical and Mental Requirements
- Stable internet connection for remote work.
- Ability to communicate effectively verbally and in writing.
- Ability to give and receive instructions, with or without hearing aids.
- Ability to read fine print, with sustained and peripheral vision (with or without glasses).
- Ability to remain calm and adaptable in fast-paced, emotionally charged environments involving children with emotional and psychological needs.
- Campuses are smoke-free except in designated areas.
