Job Summary
This position will work as needed. 20-40 hours a week depending on season.
Essential Functions
- Composes, prepares and/or types a wide variety of paperwork including correspondence, proposals, resolutions, programs, newsletters, statistics, budgets, invoices, notices, bulletins, agendas, calendars, schedules, minutes, manuals, etc.; records minutes of meetings and distributes them to all concerned parties; ensures accuracy, completeness, and timeliness.
- Coordinates and executes seasonal programs such as the Christmas Kettle Program, Children’s Feeding Program, Back to School supplies, Thanksgiving dinner for the homeless, and various other seasonal initiatives.
- Processes invoices for payment; types requisitions and check requests; receives and processes checks; maintains backup paperwork and ensures payments are made accurately and on time.
- Researches, compiles, interprets, and summarizes information for reports and special projects; resolves problems and corrects documented information; informs relevant personnel of findings.
- Prepares and maintains records, databases, books, logs, lists, etc.; updates, posts, indexes information; inputs data into the computer to maintain records.
- Develops and maintains a filing system for correspondence, forms, cards, reports, and documents; purges files, updates information, and ensures organized and efficient maintenance.
- Transcribes dictation and types correspondence or minutes accurately and timely; acknowledges routine correspondence not requiring dictation.
- Answers telephone calls courteously and schedules appointments; greets and assists employees and visitors; provides accurate information about office operations and services; resolves complaints calmly and tactfully.
- Performs bulk‑mail activities: counts and sorts items, applies correct labels, compiles mailing lists, and ensures accuracy and completeness.
- Orders office supplies, promotional items, gifts, and publications; prepares purchase requisitions and orders equipment; reviews catalogs for desired items and orders at economical prices when possible.

- Ability to concentrate and pay close attention to detail while handling phone calls or speaking to clients.
- Ability to work well under pressure of deadlines.
- Ability to follow instructions and work independently with limited supervision.
- Ability to manage multiple projects simultaneously without becoming frustrated or disorganized.
- Limited physical effort (walking, standing, lifting light objects <25 lbs.) for 5‑10% of work time.
Working Conditions
Work is performed in a normal office environment with minimal physical discomfort related to weather or noise, dust, or dirt.
