Job Summary

Office of Equity and Compliance at the University of Maryland Eastern Shore (UMES) seeks a full‑time, non‑exempt administrative professional to support departmental operations for a 12‑month term. The position provides comprehensive administrative support, manages highly confidential content, and contributes to compliance and student accommodation services. Salary is $52,000.

Key Responsibilities
  • Manage confidential materials, phone calls, emails, and other communications.
  • Edit, proofread, format, and revise documents and reports.
  • Transform drafts into final version quality reports, presentations, and documents, incorporating edits from multiple reviewers, graphics, and campus style guidelines.
  • Draft and sign routine correspondence and reply to inquiries that do not require technical program knowledge.
  • Develop, implement, and maintain paper and electronic filing systems that meet departmental needs and satisfy retention and information security requirements.
  • Enter, update, retrieve, and analyze data; create reports; work with TitleIX and ADA databases.
  • Research, analyze, and summarize information for independent reporting; communicate findings orally and in writing.
  • Screen and prioritize incoming correspondence and phone calls; forward items to appropriate parties.
  • Receive and screen telephone calls and visitors; greet and assist students, faculty, staff, attorneys, and others with TitleIX, EEO, ADA issues.
  • Assist faculty communication and student partnership related to accommodations and exam distribution; proctor exams for students with accommodations.
  • Handle procedural and substantive matters that do not require technical knowledge; refer callers to appropriate personnel.
  • Arrange travel, perform follow‑up, and manage recordkeeping; assist with budget preparation, account updates, reports, and travel reimbursements.
  • Manage office space, schedules, testing areas, and conference rooms; provide information on institutional policies and procedures.
  • Anticipate supervisor's actions when absent and facilitate problem resolution; interpret and communicate administrative decisions.
  • Provide guidance and instruction to other office support staff and perform related duties as assigned.
Qualifications & Requirements
  • High School Diploma or GED.
  • Minimum 3 years of administrative support experience.
  • General knowledge of, and skill in, practical application of office practices and procedures.
  • Excellent written and verbal communication, customer service, organizational, interpersonal, and written skills.
  • Ability to communicate effectively both orally and in writing; proofread and edit documents.
  • Proficiency with computer software packages: word processing, spreadsheets, databases, presentation programs, internet, email, and calendaring.
  • Ability to quickly learn and manage new software for department processes.
  • Ability to understand and follow oral and written instructions.
  • Ability to interact effectively with internal and external parties in a courteous, efficient manner.
  • Ability to plan, organize, prioritize, and execute multiple ongoing assignments with general instructions.
Physical Demands
  • May require extended periods of standing, bending, stooping, or sitting at a desk.
  • May require lifting.
  • Requires communication with a variety of constituents both externally and internally.
  • Requires operation of a variety of office equipment.
