Job Summary

The Administrative Assistant II will provide highly skilled administrative support to relieve an administrator of a number of organization decisions and to coordinate the activities and daily management of the office. Responsible for fiscal matters, budget preparations, correspondence, personnel matters and supervision of department support staff.

Essential Duties And Responsibilities

  • Relieves administrator of a wide variety of internal administrative duties and a large volume of decisions which require a thorough understanding of the functions, program and policies of the University.
  • Assists in the management of administrative staff services and in developing and implementing internal procedures.
  • Works with the Department Chair on scheduling classes, rooms, and assignment of classes in Astra and instructors in MyMav.
  • Coordinates travel for faculty, staff and students.
  • Manages Procard reconciliation, and assists with requisitions, & PO’s
  • Interact with all levels of University and EES administrators, faculty, and staff. Assists with Tech Session and Field Camp arrangements. Works with EES administrators to manage the Business Continuity Plan.
  • Designs and/or executes an effective system of internal controls concerning records retention, and develops and updates retention schedule and a manual of operating procedures for records retention, storage and destruction.
  • Manage inventory, building access, departmental email and listserv. Arranges meetings, send meeting notices, coordinates refreshments, and take minutes.
  • Oversees the time keeping system (TCP) for all faculty, staff, and students.
  • Performs other duties as assigned.

Minimum Qualifications

  • High school with five (5) years of increasingly responsible administrative, secretarial and clerical experience or an equivalent mix of education and relevant experience in similar role.

Preferred Qualifications

  • Bachelor’s degree or equivalent with one (1) year upper level secretarial experience
  • Excellent oral and written skills.

Knowledge, Skills and Abilities

  • Knowledge of computer programs used at the University and the ability to adapt to new software.
  • Knowledge in the areas involving office management and administrative procedures.
  • Ability to maintain confidentiality.
  • Ability to lead and encourage office staff.
