Administrative Assistant ILocation: Indianapolis, IN Schedule: Monday–Friday, 8:00 AM–4:30 PM Pay: $21–$22 per hour Job Type: Full-time, Temp-to-Hire
Pro Resources is seeking an experienced Administrative Assistant for a manufacturing company in Indianapolis. This is a key support role that works closely with management, customers, and several internal departments. The right candidate will have previous administrative experience in a manufacturing environment, strong computer and data-entry skills, and experience working with customer accounts. This position moves at a fast pace, so we are looking for someone professional, dependable, detail-oriented, and comfortable managing multiple priorities and deadlines.
Responsibilities
- Provide day-to-day administrative, customer service, shipping, and order-entry support
- Enter and maintain accurate information in ERP/MRP, quality, and other business systems
- Communicate professionally with customers, vendors, and employees by phone and email
- Prepare job packets and supporting customer and production documentation
- Create packing slips, invoices, shipping labels, certificates of compliance, air bills, and export documents
- Coordinate overnight and international shipments
- Review receipts and documentation, identify discrepancies, and help resolve issues
- Assist with purchasing-related tasks, including requisitions, order tracking, and inventory
- Maintain shipping software and monitor shipping and packaging supplies
- Support continuous-improvement efforts and assist other departments as business needs change
- Follow company procedures, quality standards, and safety policies
Qualifications
- Previous administrative experience in a manufacturing environment is required
- Experience with data entry and customer accounts is required
- High school diploma or GED with at least three years of related experience, or an associate degree with at least one year of related experience
- Strong Microsoft Word, Excel, and PowerPoint skills
- Fast and accurate typing and data-entry skills
- Strong written and verbal communication skills
- Professional customer service skills and the ability to work effectively with several departments
- Excellent organization, attention to detail, and accuracy
- Able to juggle multiple tasks, prioritize changing needs, and meet deadlines in a fast-paced environment
- Self-motivated and able to work independently with limited supervision
- Able to handle confidential information appropriately
