Qualifications

Responsibilities

  • Reconcile accounts and prepare sub-account financial reports.
  • Assist with onboarding and employment processes for applicants.
  • Train and supervise part-time and student workers.

Job Title

Administrative Assistant I

Essential Job Functions
  • Serves as administrative assistant the Chief of Staff providingor overseeing reception services, scheduling appointments, andsupervising other administrative support personnel
  • Performs complex technical assignments or programresponsibility
  • Serves as the communication hub of the department bycommunicating information from the supervisor to others, collectingand organizing information requested by the supervisor from others,making information available to others, and providing more complexinformation on processes specific to the department to appropriateparties
  • Supports administrative business functions by maintaining thedepartmental website and databases, scheduling the use ofconference rooms, and maintaining security of equipment, files andrecords.
  • Organizes, coordinates, plans, and conducts departmentalevents
  • Manages multiple departmental accounts with by reconcilingaccounts monthly, maintaining running balances of sub-accounts, andpreparing financial reports which are relies on by the supervisorto make financial decisions
  • Assists with employment processes by monitoring and maintainingcredential files of applicants, preparing master files for searchcommittees, preparing correspondence to applicants, enteringrequired information into the applicant database, preparingrequired documents and assisting new employees with processesassociated with onboarding
  • Trains, assigns work, and reviews the work of full andpart-time employees and student workers
  • Other related duties, as assigned
Qualifications
Minimum Education

Bachelor’s degree in office administration or related field

Minimum Experience

Four (4) year of increasingly responsible clerical, secretarial andoffice administrative support experience, including three (3) yearsof experience at a level comparable to an Administrative AssistantII

Knowledgeable of personnel principles and office managementpractices

Knowledgeable of database applications, web content management, andadministrative business systems

Grounding in results achievement and strong customer focus

Ability to work effectively without direct or ongoingsupervision

Ability to maintain departmental financial records and accounts andprepare financial reports as required
