Job summary

The University of Texas at Arlington is seeking an administrative support specialist to provide general secretarial assistance in a busy academic unit. Responsibilities include calendar management, travel coordination, and handling routine communications.

Qualified candidates will have at least 2 years of administrative experience, strong MS Office skills, and a working knowledge of university procedures. This is an in-person role with standard business hours and a comprehensive benefits package.

Qualifications

  • High school diploma or equivalent with 2+ years of secretarial or administrative support experience.
  • Proficiency in Microsoft Office Suite and maintaining records.
  • Familiarity with university policies and procedures preferred.

Responsibilities

  • Addresses and resolves routine problems within the unit using internal/external policies.
  • Serves as liaison between the unit and clients.
  • Creates routine correspondence and maintains files and records.
  • Manages calendars and coordinates schedules and meetings.
  • Coordinates travel arrangements and expense reimbursements.
  • Performs other duties assigned.

Job description

Purpose of Position

Provides general administrative support to a business or academic unit under general supervision. Performs various routine administrative duties daily. Requires a broad understanding of organizational operations and procedures. May handle confidential and sensitive material


Essential Functions


  • Addresses and resolves routine problems within the business or academic unit; apply internal and external policies and procedures during the resolution of problems

  • Serves as a liaison between the business or academic unit and internal and external clients.

  • Creates routine correspondence (i.e., letters, emails, course syllabi etc.); submits e-forms; maintains files and records.

  • Manages and maintains department and/or manager’s calendars; organizes schedules and meetings.

  • Coordinates travel arrangements and prepares expense vouchers and expense reimbursements.

  • May perform one or more of the following: reconcile departmental financial accounts; review and approve financial transactions including vouchers, deposits, transfer of funds, and reconciliation of Procard account.

  • May perform one or more of the following: act as timekeeper, maintain employee records, track annual appointments for the business or academic unit, etc.

  • Performs other duties assigned.


Required Qualifications


  • High school diploma or equivalent and a minimum of two (2) years of experience providing secretarial or administrative support or equivalent work experience.


Preferred Qualifications


  • Bachelor’s degree in Communication, General Studies, or Business.

  • Experience with department budgets.

  • Experience processing basic financial transactions.

  • Experience with PeopleSoft.

  • Experience with University of Texas at Arlington policies and procedures.


Knowledge, Skills & Abilities


  • Ability to utilize Microsoft Office Suite.

  • Knowledge of standard office practices and procedures.

  • Ability to maintain accurate records.

  • Skilled in written and oral communication skills.

  • Ability to resolving routine problems and make decisions.

  • Ability to draft, read and comprehend a variety of correspondence.

  • Ability to manage time effectively and prioritize work.

  • Skilled in preparing clear and concise reports, correspondence, and other written materials.

  • Skilled in conflict resolution, using tact, discretion, initiative, and independent judgment within established guidelines.

  • Skilled in researching, compiling, and summarizing a variety of informational, financial, and statistical data and materials.

  • Skilled in applying logical thinking to solve problems or accomplish tasks.

  • Ability to understand, interpret and communicate policies, procedures, and protocols.


Work Schedule


  • Monday through Friday; 8:00am through 5:00pm

  • This position is in person, not remote or hybrid eligible.
