Qualifications

The hourly rate for this position ranges from $21 to $21. The final offer will be commensurate with the candidate’s relevant experience and qualifications.

JOB SUMMARY

The MavTemp Administrative Assistant provides essential administrative support for campus departments, helping with daily office operations, business activities, and general administrative tasks. This role is ideal for individuals who are organized, adaptable, and eager to gain professional experience in a higher education environment.

This assignment is temporary/casual and may not exceed 3 months.

Essential Functions
  • Addresses and resolves routine problems within the business or academic unit; apply internal and external policies and procedures during the resolution of problems.
  • Serves as a liaison between the business or academic unit and internal and external clients.
  • Creates routine correspondence (i.e., letters, emails, course syllabi etc.); submits e-forms; maintains files and records.
  • Manages and maintains department and/or manager’s calendars; organizes schedules and meetings.
  • Coordinates travel arrangements and prepares expense vouchers and expense reimbursements.
  • May perform one or more of the following: reconcile departmental financial accounts; review and approve financial transactions including vouchers, deposits, transfer of funds, and reconciliation of Procard account.
  • May perform one or more of the following: act as timekeeper, maintain employee records, track annual appointments for the business or academic unit, etc.
  • Performs other duties assigned.
Required Qualifications
  • High school diploma or equivalent and a minimum of two (2) years of experience providing secretarial or administrative support or equivalent work experience.
Preferred Qualifications
  • Bachelor’s degree in Communication, General Studies, or Business.
  • Experience with department budgets.
  • Experience processing basic financial transactions.
  • Experience with PeopleSoft.
  • Experience with University of Texas at Arlington policies and procedures.
Knowledge, Skills & Abilities
  • Ability to utilize Microsoft Office Suite. Knowledge of standard office practices and procedures.
  • Ability to maintain accurate records. Skilled in written and oral communication skills.
  • Ability to resolving routine problems and make decisions. Ability to draft, read and comprehend a variety of correspondence.
  • Ability to manage time effectively and prioritize work. Skilled in preparing clear and concise reports, correspondence, and other written materials.
  • Skilled in conflict resolution, using tact, discretion, initiative, and independent judgment within established guidelines. Skilled in researching, compiling, and summarizing a variety of informational, financial, and statistical data and materials.
  • Skilled in applying logical thinking to solve problems or accomplish tasks.
  • Ability to understand, interpret and communicate policies, procedures, and protocols.
Work Schedule
  • Monday through Friday; (w ork up to 40 hours depending on assignment.)
Working Conditions
  • May work around standard office conditions.
  • Repetitive use of a keyboard at a workstation.
  • Uses standard office equipment
