Job summary

Enid Public Schools seeks an HR Assistant to support the Director of HR & Communications with recruiting and retaining certified and support staff. The role involves moving from paper to online records, maintaining employee documentation, and assisting with district HR operations.

The position is twelve-month with a board-established salary and calendar. Excellent customer service, organizational, and communication skills are essential for success.

Qualifications

Responsibilities

  • Communicates with applicants about career opportunities and offers.
  • Assists with personnel programs and digital record keeping.
  • Maintains employee documentation for certified staff.
  • Supports compliance and reporting for Oklahoma Department of Education.
  • Answers questions about personnel policies and benefits.
  • Assists with job descriptions review and updates.
  • Helps develop district personnel policies and procedures.
  • Supports front desk/switchboard responsibilities.
  • Provides quality customer service to HR and district callers.
  • Maintains confidentiality of employee and student information.
  • Performs special projects as directed by the Director of HR & Communications.

Job description

8 hours/day - 260 days/year

QUALIFICATIONS:
  1. Human resources-related degree and experience preferred;
  2. Proficient with technology, including Microsoft Office and online resources;
  3. Knowledge of personnel-related laws and practices preferred;
  4. Expertise in general clerical, organizational and interpersonal skills, including customer service;
  5. Demonstrate leadership, self-direction and self-motivation abilities;
  6. Such alternatives to the above qualifications as the Superintendent may find appropriate and acceptable for the success of the position.
REPORTS TO:

Director of HR & Communications

JOB GOAL:

To assist the Director of HR & Communications with the duties required to recruit and retain quality certified and support staff team members.

PERFORMANCE RESPONSIBILITIES:
  1. Communicates with applicants about career opportunities and employment offers.
  2. Assists with the implementation and maintenance of personnel programs/systems, including the continued transition from paper to online record keeping and employment transactions.
  3. Assists with employee documentation, with an emphasis on certified employees.
  4. Assisists with compliance and reporting requirements for the Oklahoma State Department of Education.
  5. Assists school employees and applicants with questions and documentation regarding personnel policies, benefits and procedures.
  6. Assists with the review and revision of district job descriptions.
  7. Assists with the development and management of district personnel policies and procedure.
  8. Assist with the Administrative Services Center front desk/switchboard.
  9. Provides quality customer services to those who in need of assistance from the HR Department.
  10. Ensures the confidentiality of employee, student and district information.
  11. Performs other duties and manages special projects as assigned by the Executive Director of HR & Communications.
TERMS OF EMPLOYMENT:

Twelve-month contract. Salary, vacation and work calendar to be established by the Board at the recommendation of the Director of HR & Communications.

PHYSICAL REQUIREMENTS:
  • Walk, bend, kneel, reach, stand, talk and hear
  • Sit for long periods of time at a desk to perform job functions
  • Occasionally lift and move objects weighing up to 25 pounds
  • Read, write, and interpret written documents
  • Manipulate, handle, feel, and control items or equipment
  • Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus
WORK ENVIRONMENT:

Includes both a typical office environment, with minimal exposure to excessive noise or adverse environmental issues, and occasional local travel, including exposure to typical heat, cold and inclement weather conditions.

EVALUATION:

The Director of HR & Communications will be responsible for completing the evaluation pursuant to board policy and procedures.

SALARY RANGE:

$17/hour -$19/hour, depending on experience.
