Job description

About the Role

This role supports three senior vice presidents at the NFL by providing daily administrative and operational assistance to drive efficiency and optimise the productivity of the teams and leaders. It involves general administrative support, including calendar management and travel coordination, as well as operations support such as invoice processing and contract routing. The position is with a third-party agency partner that provides services to the NFL; the selected individual will be employed by that agency, not the NFL, and must work onsite at an NFL office or stadium location.

Key Responsibilities
  • Coordinate and schedule meetings and conference calls, and manage calendars across different time zones.
  • Create and distribute agendas.
  • Answer and route telephone calls and incoming mail.
  • Arrange and manage travel schedules and travel expenses.
  • Track and process P-Card transactions and expenses.
  • Prepare meeting materials and presentations, and create templates for letters and memos.
  • Track and maintain department inventory and materials.
  • Process invoices, set up new vendors, and handle other financial system operations on behalf of the department.
  • Create templated agreements and route contracts through Docusign and other systems.
  • Process staffing and credential needs for events and meetings, and write and issue correspondence to key partners, NFL clubs, vendors, and fans.
Required Experience & Qualifications
  • Prior experience supporting one or more senior leaders, executives, or C-suite stakeholders in an administrative or executive assistant capacity.
  • Demonstrated experience managing complex calendars, travel arrangements, meeting coordination, and expense reporting.
  • Exceptional prioritising, organisational, communication, initiative, judgment, and interpersonal skills.
  • Ability to prioritise competing requests and maintain confidentiality in a fast-paced environment.
  • Enthusiastic, proactive can-do attitude.
  • Grit, free from ego or entitlement.
  • Relationship-building and influencing skills.
  • Eagerness to learn, driven by passion rather than just ambition.
  • Incredible work ethic with an agile mindset.
Preferred Skills
  • Degree from a four-year college or university.
  • Experience supporting multiple executives simultaneously.
  • Experience coordinating across multiple departments and stakeholders.
  • Experience within sports, media, entertainment, or a similarly fast‑paced corporate environment.
Workplace
  • This role requires onsite presence at an NFL office or stadium location; remote and/or hybrid working options are not offered.
  • No relocation assistance will be provided.
Salary

$35—$35 USD. The NFL expects to hire for this position near the middle of the range; only in rare and exceptional circumstances, where an external candidate's experience, credentials, or expertise far exceed those required, would pay near the higher end be considered.

Benefits & Perks
  • Comprehensive benefits offerings are available.
