Job summary

Ohio’s Hospice seeks an Administrative Assistant – Clinical Operations to provide essential clerical support for clinical teams in the Wooster area. You will manage schedules, patient data, and communications, while coordinating with other offices as needed to ensure smooth operations.

The role emphasizes accuracy, organization, and compassionate service in a fast-paced hospice environment. Candidates should have an associate degree and proficiency with Word, Excel, and EMR systems.

Qualifications

  • Associate degree in office management or a related field preferred.
  • Proficiency in Microsoft Word and Microsoft Excel.
  • Previous experience with an Electronic Medical Record (EMR) system preferred.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Ability to prioritize multiple responsibilities in a fast-paced environment.
  • Ability to drive during daytime, nighttime, and inclement weather as needed.
  • Valid driver’s license with a safe driving record.
  • State minimum automobile insurance coverage.

Responsibilities

  • Provides clerical and administrative support to hospice clinical teams, Team Leaders, and other departments.
  • Prepares and distributes caseload, clinical, scheduling, and other reports to support timely and accurate patient care.
  • Receives, processes, and distributes laboratory results and other clinical information to appropriate care team members.
  • Enters and maintains clinical schedules, patient assignments, PTO, holiday, on-call, and attendance information in electronic systems.
  • Coordinates IDT and other team meetings, including scheduling, participant communication, meeting preparation, logistics, and documentation of minutes as appropriate.
  • Reviews electronic reports for synchronization, compliance, and other identified variances and communicates findings to appropriate Team Leaders for follow-up.
  • Prepares DME and other reports for IDT/Quality of Life meetings and assists with tracking and reporting variances.
  • Completes audits, data entry, reports, and other administrative projects as requested by Directors and Team Leaders.
  • Maintains accurate electronic records and documentation in accordance with organizational policies and procedures.
  • Participates in Continuous Quality Improvement activities and supports initiatives designed to improve hospice services and operational processes.
  • Provides administrative support to other departments and performs additional duties as assigned.

The Administrative Assistant – Clinical Operations provides administrative support to clinical operations and team leaders while serving as an important point of contact for patients and families. This role provides phone support to the reception area, assists with patient and family needs, and helps ensure our teams have the information and resources needed to provide compassionate, high-quality hospice care.

What You Should Know About the Administrative Assistant – Clinical Operations Role
  • This is a full-time, Monday-Friday position, 8:00 a.m.-5:00 p.m., primarily based at our Wooster office.
  • The Clinical Coordinator will be expected to work from our New Philadelphia office one day per week.
  • Occasional travel to other Ohio's Hospice offices may be required based on operational and staffing needs.
  • You will work collaboratively with our other two Clinical Coordinators to support clinical teams and ensure consistent, efficient operations.
  • This is a key support role that helps our clinical teams provide superior care and superior service to patients and families.
  • The ideal candidate will have a genuine heart for hospice and a desire to support patients, families, and coworkers during an important time in their lives.
