Community Solutions Inc. in Bloomfield, CT is seeking an Administrative Assistant for the Drapelick Center. The role supports the Program Director with calendar management, office functions, and general staff support.

Responsibilities include handling calls, emails, filing, data entry, reporting, front desk coverage, and training participation. A Bachelor’s degree and at least one year of admin experience are required; proficiency in Word, Excel, Access, Windows and Outlook is essential.

  • Proficiency in Microsoft Word, Excel, Access, Windows, and Outlook.

Responsibilities

  • Assist the Program Director in administrative matters and support program management, including calendar coordination and office functions.
  • Provide overall administrative support to staff at CSI's Drapelick Center location, including calls, emails, faxes, mail handling, and electronic meeting scheduling.
  • Set up and maintain the main office and file system, ensuring confidentiality and policy compliance.
  • Data input for program and client information, and complete reports.
  • Assist with scheduling related to staffing, clients, activities, funder requests, and facilities work.
  • Support data collection and reporting for WAI surveys.
  • Submit and update electronic documentation into CSI data collection systems as required.
  • Research pricing of office supplies, printing, posting, and office equipment.
  • Maintain an inventory of supplies and process orders as needed.
  • Assist managers with weekly, monthly, quarterly reporting and projects.
  • Provide front desk coverage and reception as needed.
  • Register for required trainings and refreshers.
  • Model pro-social behaviors and uphold CSI policies.

Salary: $19.75/hr (Hourly)

Travel: Up to 25%

Shift: First Shift (Monday-Friday 8:00am to 4:00pm)

Monday-Friday 8:00am to 4:00pm

Responsibilities
  • Assist the Program Director in administrative matters and support program management, including calendar coordination and office functions.
  • Provide overall administrative support to the staff of CSI's Drapelick Center location, including incoming calls, email responses, faxes, mail handling, and electronic meeting scheduling.
  • Set up and maintain the main office and file system, ensuring compliance with agency policy regarding confidential information.
  • Computerize and input data for program and client information, and complete reports.
  • Assist with scheduling related to staffing, clients, activities, funder requests, and facilities work.
  • Participate in the administration, collection, data input, and reporting related to WAI surveys.
  • Submit and update electronic documentation into CSI and CSSD data collection systems as required.
  • Research and compile information related to pricing of office supplies, printing, posting, and office equipment.
  • Maintain an inventory of office and program supplies and order/receive as needed.
  • Assist managers with weekly, monthly, quarterly reporting and various projects such as proposals, grant requests, and new initiatives.
  • Provide coverage of front desk duties.
  • Register for and attend all required trainings and refreshers.
  • Serve as a role model to clients and staff by modeling pro-social behaviors.
  • Maintain a working knowledge of, and abide by, CSI’s programs, policies and procedures.
  • Maintain and keep inventory of all keys.
  • Perform other duties as assigned by a supervisor.
Qualifications
