You will manage complex calendars, coordinate domestic and international travel, prepare expense reports, and organize meetings with customers, suppliers, and internal teams. This role emphasizes proactive problem-solving and cross-functional collaboration.

The Opportunity

We are looking for a highly motivated, energetic, proactive, and socially confident Administrative Assistant to support at least one Corporate Vice President and a small group of Director-level executives.

This is much more than a traditional administrative role. You will be a key partner to senior leaders, helping keep their schedules, meetings, travel, and day-to-day priorities running smoothly.

What You'll Do
  • Manage complex executive calendars, including coordination across multiple U.S. regions
  • Coordinate frequent domestic and international travel
  • Handle last-minute travel changes and itinerary adjustments professionally
  • Schedule and prepare for customer, supplier, internal, and corporate meetings
  • Coordinate meeting rooms, catering, room setup, technology, and other logistics
  • Manage conference room scheduling and availability
  • Prepare and process expense reports
  • Make restaurant reservations for customer meetings and executive engagements
  • Manage office supplies and administrative needs
  • Partner with IT, Facilities, Security, Catering, and other internal teams
  • Help ensure projectors, conference room technology, and other equipment are ready for important meetings
  • Support holiday parties, all-employee meetings, customer visits, and other corporate events
  • Collaborate closely with the broader Administrative Assistant community
  • Adapt quickly when business priorities change
  • Take on additional responsibilities based on business needs and your interests
What We're Looking For

The ideal candidate will have:

  • Previous experience providing administrative or executive support in a fast-paced professional environment
  • Experience supporting senior executives, Vice Presidents, Directors, or similar leadership
  • Experience coordinating complex domestic and/or international travel
  • Excellent organizational and time-management skills
  • Strong problem-solving abilities and the ability to handle unexpected situations calmly
  • Excellent interpersonal and communication skills
  • A professional, positive, and service-oriented attitude
  • The ability to work effectively with people with different personalities and communication styles
  • The ability to pivot quickly between competing priorities
  • Strong attention to detail and follow-through
  • Proficiency with Microsoft Outlook, Teams, Word, Excel, and PowerPoint
  • Concur experience is highly desirable
  • High school diploma or equivalent
Preferred

Experience supporting executives in a high-tech, semiconductor, engineering, manufacturing, or similarly complex corporate environment is strongly preferred.
