Under general supervision of the Director of Workforce Services, the Administrative Assistant 3 performs professional-level administrative support for Workforce Services. The position maintains administrative records and tracking systems, schedules meetings and events, prepares and routes documents, tracks budget and purchasing activity, supports hiring and onboarding paperwork, and maintains office procedures and workflow tools.
Respond to phone, email, and in-person inquiries.
Maintain calendars, schedule meetings, prepare materials, and track follow-up items.
Prepare, proofread, format, and distribute correspondence, forms, reports, and other documents.
Maintain electronic and paper records, spreadsheets, databases, and tracking systems.
Track grant documentation, deadlines, reports, and Time and Effort materials.
Track budget information, purchasing activity, receipts, and purchasing card transactions.
Prepare purchasing, travel, invoice, and operational documents.
Support recruitment, hiring, and onboarding processes.
Provide logistical support for events, workshops, trainings, and meetings.
Maintain office procedures, forms, templates, calendars, and workflow tools.
Perform other duties as assigned.
High school diploma, GED, or equivalent.
Two or more years in an administrative support environment.
Experience with computers and office software, including Microsoft Word and Excel.
Experience managing multiple responsibilities, deadlines, and priorities.
Ability to track, monitor, and reconcile budgets.
Experience maintaining confidentiality and working independently.
Strong communication, organization, and time management skills.
Associate degree or higher.
Three or more years of progressively responsible administrative support experience.
Experience in higher education.
Experience using Student Information Systems and event software.
Supervisory skills and experience.
Full-time, 40 hours per week.
6-month probationary period.
May require infrequent local or regional travel.
