Job summary

The Ohio State University is seeking an Administrative Assistant 3 to coordinate administrative, financial, and operational tasks for the Student Wellness Center and the Student Advocacy Center. This on-site role supports directors and staff, managing confidential information with discretion.

Ideal candidates have a high school diploma or GED and at least two years of relevant experience, strong Microsoft Office skills, and the ability to multitask across two teams in a dynamic university

Qualifications

  • Minimum of 2 years of professional administrative, office management, or business administration experience.
  • Ability to work independently and manage complex workflows across two teams.
  • Knowledge of business and financial principles including financial operations, procurement, expense reports, and inventory.
  • Excellent written and verbal communication with high attention to detail.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and scheduling tools.

  • Coordinate administrative, financial, and operational functions for the Student Wellness Center and Student Advocacy Center.
  • Provide direct administrative support to the Directors of both centers and support full-time staff.

The Administrative Assistant coordinates the comprehensive administrative, financial, and operational functions for both the Student Wellness Center (SWC) and the Student Advocacy Center (SAC) within the Holistic Student Well‑being portfolio. This role provides direct administrative support to the Directors of both centers, as well as general operational support for both full‑time staffs. The individual in this position must navigate the unique workflows of two high‑traffic, student‑centered departments, requiring exceptional multi‑tasking abilities, fiscal precision, and total discretion with confidential and private information.

This position will work on site. The office is open 9am‑5pm Monday‑Friday.

Qualifications Required
  • High School diploma or GED.
  • Minimum of 2 years of professional administrative, office management, or business administration experience.
  • Proven ability to work independently and seamlessly manage complex workflows across two distinct teams or offices.
  • Demonstrated knowledge of business and financial principles, including experience with financial operations, procurement, purchasing, expense reports, balancing financial sheets, or inventory management.
  • Excellent written and verbal communication skills with a high attention to detail and strong relationship management capabilities.
  • Proficiency with Microsoft Office Suite (specifically Word, Excel, and PowerPoint) and digital scheduling tools.
Desired
  • Bachelor’s degree in business administration, financial management, communications, or a closely related field.
  • 4 years or more of relevant administrative and operational experience, preferably within a higher education environment.
  • Direct experience handling university purchasing systems, e‑requests, travel reconciliation, and Workday financial systems (specifically within an Ohio State or similar higher education environment).
  • Proven experience working with and potentially hiring and training student employees or part‑time staff.
  • Experience preparing comprehensive financial and operational reports.
  • Experience coordinating projects and operational processes, with the ability to manage multiple workflows in a fast‑paced environment.
  • Ability to interpret and apply complex organizational/university policies and procedures.
Salary

The hiring range for this position is $21.35-$23.08/hr. The offer for this position will fall within this range based on internal equity, the unit’s available budget, and the selected candidate’s qualifications.
