Job summary

Position:


The Idaho Department of Environmental Quality (DEQ) is hiring an Administrative Assistant 2 for the Fiscal Office (Boise).


Responsibilities:



  • Manage financial transactions, including invoices, purchasing, reimbursements, travel expenses, purchase orders, and vendor setup, ensuring accuracy and compliance with agency and state requirements.

  • Serve as the division's public records coordinator by managing requests, tracking deadlines, coordinating responses, and maintaining records in accordance with agency policies.

  • Provide administrative support to division leadership and staff, including calendar management, meeting and travel coordination, document routing, and handling confidential information.

  • Support division operations through employee onboarding/offboarding, workspace and equipment coordination, inventory management, meeting support, and special projects.

  • Prepare, edit, and maintain correspondence, reports, forms, spreadsheets, and records using agency systems and standard office software.

  • Perform other related duties as assigned.


Minimum Qualifications:


Good knowledge of:



  • office support functions including word processing

  • filing(primarily electronic)

  • composing a variety of business documents

  • reception

  • researching, compiling, and summarizing data for reports.


Experience:



  • interpreting, applying and explaining complex information such as regulations, policies or services

  • independently solving problems/performing liaison activities in a work setting

  • coordinating activities requiring complex arrangements.


Desired Qualification


Experience with Microsoft Excel


Physical Requirements (with or without reasonable accommodation)



  • Ability to sit and work on a computer for 2-4 hours at a time.

  • Ability to bend and reach for filing purposes.

  • Some periods of heavy reading and typing are required.

  • Ability to lift 30 pounds when working with file boxes.
