Job summary

Ranken Technical College in St. Louis is seeking an Administrative Assistant to provide essential support to the Vice Presidents and campus operations.

The role involves data gathering, preparing correspondence, and welcoming visitors, while handling routine tasks like scheduling and filing. Responsibilities include coordinating Academic Discipline Review Board hearings, maintaining student records, attending meetings, and supporting special projects and campus events.

Qualifications

  • High school diploma required; associate degree preferred.
  • Superior customer service and communication skills in person, writing, phone, and email.
  • Ability to assist students, parents, faculty and staff professionally and confidentially.
  • Self-starter who can work independently and in a team.
  • Five years of increasingly responsible administrative assistant experience; demonstrated computer experience and customer service experience.

Responsibilities

  • Prepare correspondence and reports including gathering needed data.
  • Tracks calendars, schedules appointments, and greets visitors.
  • Performs routine administrative duties such as answering phone calls, filing, creating copies, coordinating mailings, faxing, scanning, etc.
  • Coordinates and prepares for Academic Discipline Review Board hearings; compiles notes and emails results; maintains student records.
  • Attends meetings, compiles notes, and files meeting minutes.
  • Plans and coordinates special projects and campus events as assigned.
  • Creates Letters of Appointment prior to the start of each semester and submits to payroll.
  • Responsible for communicating, planning, and coordinating Summer Camps for middle and high school kids.
  • Performs Backflow processing for Workforce Development.

Purpose of the Role

Provides administrative assistance to the Vice Presidents of the College.

  • Coordinates and prepares for Academic Discipline Review Board (ADRB) hearings. Compiles notes during the hearings and emails results following. Maintains student records regarding attendance, discipline, and ADRB results.
  • Attends various meetings, compiles notes during, and files meeting minutes after.
  • Plans and coordinates special projects and campus events as assigned.
  • Creates Letters of Appointment prior to the start of each semester and submits to payroll prior to the deadline.
  • Responsible for communicating, planning, and coordinating Summer Camps for middle and high school age kids.
  • Performs Backflow processing for Workforce Development.
Qualifications
  • Required: High school education with college business courses; associate degree preferred.
  • Superior customer service skills with excellent interpersonal and communication skills in person, writing, over the telephone, and via email.
  • Ability to assist students, parents, College faculty and staff, and all other individuals in a professional, confidential, and respectful manner.
  • Self-starter with ability to work independently and as a team member.
  • Ability to multi-task, excellent organizational and time-management skills, accuracy and attention to details.
  • Displays a positive work attitude.
  • Required: Five years of increasingly responsible administrative assistant experience; demonstrated computer experience; and customer service experience.

Note - Some evening and/or weekend hours will be required to participate in campus events.
