TBG | The Bachrach Group is partnered with one of the largest oilfield services companies globally on their search for an ADMINISTRATIVE ASSISTANT / OFFICE MANAGER. The ideal candidate will have at least 4 years of office administrative experience within a corporate or financial services environment. A Bachelor's Degree in Business Administration or any related field is highly preferred and a HS Diploma or equivalent is required.
RESPONSIBILITIES AND QUALIFICATIONS:
- Act as a main point of contact for office needs, communication, and day-to-day administrative tasks.
- Assist leadership with administrative work, organization, projects, and follow-up to keep priorities on track.
- Manage front desk operations, including visitors, phone calls, mail, and deliveries.
- Keep the office running smoothly by managing supplies, kitchen needs, catering, and general facilities requests.
- Coordinate mail, deliveries, and courier services for the office and business needs.
- Organize company events, lunches, customer visits, executive meetings, conferences, holiday gatherings, and employee activities.
- Coordinate event details such as schedules, catering, supplies, vendors, and budgets.
- Help create a welcoming and organized office environment by anticipating needs and making sure meetings and events run smoothly.
- Review vendor invoices for accuracy before payment and follow up on invoices that are on hold or need additional information.
- Help onboard new vendors by collecting and organizing required documents and approvals.
- Assist with vendor verification, banking information, and documentation required for internal controls.
- Keep vendor and invoice records accurate and organized to support audits and compliance.
- Provide administrative support to different departments, managers, and executives.
- Manage multiple priorities, including routine tasks and time-sensitive requests.
- Recognize problems or gaps and take initiative to resolve them or involve the appropriate person when needed.
- At least 4 years of experience in office administration, operations, accounting support, or a related area.
- Background working with accounting, finance, operations, or leadership teams.
- Experience organizing meetings, events, office activities, or visits from customers and partners.
- Familiarity with vendor setup, maintaining vendor records, and handling invoice-related tasks.
- Able to work comfortably in a busy, changing environment while managing several responsibilities at once.

Salary range: $40,000 - $50,000 + bonus eligible
