Job description

Think back to a well-organized first day: someone had the documents ready, the meetings were arranged, and you knew where to go. Our San Antonio Administrative Assistant will help create that kind of clarity in the routine work of a busy office.

This full-time, on-site position supports team administration, meeting arrangements, and the paperwork behind everyday office processes. It is an entry-level opportunity for someone who can organize information and communicate reliably, whether those skills come from employment, military service, education, or community work.

Prepare the details that others depend on

You will maintain checklists and schedules, request missing information, and make sure completed documents reach the correct person. The position supports established processes; personnel decisions and policy advice remain with the responsible manager or specialist.

Tasks include:

  • Preparing administrative packs and coordinating scheduled introductory meetings.
  • Maintaining shared calendars and confirming room or equipment arrangements.
  • Updating staff directories and routine office contact records.
  • Formatting internal notices, meeting notes, and standard documents.
  • Tracking completion of assigned paperwork without handling approvals beyond your authority.
  • Organizing files and routing confidential information through the agreed channels.

Transferable skills are worth showing

Previous office work is useful, but a specific administrative job title is not required. You may have organized shift records, supported a unit, coordinated a volunteer group, or managed appointments in a customer-facing environment.

A high school diploma or equivalent is appropriate. We look for clear written communication, basic proficiency with office applications, and the ability to check details before passing work onward. You should be willing to ask when instructions conflict and capable of keeping track of agreed deadlines.

Support without overstepping

You will help people locate the right information while respecting confidentiality. That means checking recipients, maintaining accurate records, and referring sensitive questions instead of offering unapproved advice. Dependable follow-up matters more than appearing to have every answer immediately.

The worksite is in San Antonio, Texas. Submit your resume through LinkedIn, highlighting tasks that demonstrate coordination and discretion. We welcome applications from veterans, military spouses, career starters, career changers, and other qualified candidates on an equal basis.
