Administrative Assistant (Contract-to-Hire)
Location: Hybrid, Minneapolis/St. Paul Metro Area (Onsite 3 days per week)
Schedule: Full-Time, Monday-Friday
Pay: Competitive hourly rate during contract period | Conversion salary range: $29-$33/hour equivalent
Beacon Hill is partnering with a growing organization to identify an Administrative Assistant who will serve as a key partner to executive leadership within a technology-focused environment. This individual will provide high-level administrative support to a senior executive and additional department leaders, helping drive organization, communication, and operational efficiency across the team.

Key Responsibilities
- Manage complex calendars for executive leaders, including scheduling meetings, resolving conflicts, and prioritizing business‑critical activities.
- Coordinate meetings, events, offsites, team activities, and department initiatives.
- Monitor and help manage executive communications, flagging urgent items and tracking follow‑up actions.
- Prepare leaders for upcoming meetings by organizing agendas, materials, and pre‑work.
- Take meeting notes and distribute action items as needed.
- Draft, edit, and format correspondence, presentations, reports, and other business documents.
- Conduct research, gather information, and compile materials to support decision‑making and planning.
- Serve as a key point of contact for internal and external stakeholders.
- Anticipate administrative needs and proactively identify solutions to improve efficiency and organization.
- Support special projects and employee engagement initiatives, including department events and recognition programs.
Qualifications
- Minimum of 3 years of administrative assistant experience, preferably supporting executives or senior leadership.
- Demonstrated ability to work independently and proactively with minimal supervision.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Excellent written and verbal communication skills.
- Experience handling sensitive and confidential information with professionalism and discretion.
- Proven ability to anticipate needs, take ownership of tasks, and follow through to completion.
- Strong attention to detail and problem‑solving abilities.
- Proficiency with Microsoft Office Suite and common collaboration tools.
- Comfortable working in a hybrid environment with onsite attendance required at least three days per week.
